Job Details

Position Title: Coordinator, Early Access Initiatives

Status: Regular Part Time

Hours: 24 hours

Faculty/Department: Community Outreach & Workforce Development

Campus/Location: North Campus

Salary: Band 7 (Min) $20.09 - (Max) $30.91

What you will do:

Reporting to the Manager, Community Projects, the Coordinator - Early Access Initiatives, is responsible for the development, implementation and coordination of all Early Access Initiatives led by the department. The incumbent will work in conjunction with other Faculties in the college, and will develop educational events/workshops that expose children, youth and underrepresented groups to post-secondary education and training pathways. These events/workshops are delivered in partnership with external stakeholders such as school boards and community organizations. Primary responsibilities include the development and delivery of events and workshops, general administrative duties, proposal writing, program development, student staff oversight, event promotion on social media, tracking of metrics and creation of reports on measurable outcomes, as well as the effective stewardship of partnerships with internal and external stakeholders.

Key Duties

  • Supports the implementation and coordination of events for all Early Access Initiatives within Community Outreach and Workforce Development (COWD)
  • Scheduling of rooms, organizing catering and securing of relevant resources (including emergency response plans) for events, meetings, workshops and conferences.
  • Development and delivery of workshops to internal and external stakeholders to fulfill the department's early access mandate.
  • Sources and liaises with internal and external key contacts (i.e. facilitators, speakers, students, faculty, staff and volunteers to secure their time and contribution for visiting students from GTA school boards and community organizations).
  • Communicates effectively and in a timely manner when responding to requests
  • Promotes events, workshops, conferences etc. through various social media platforms, including through various outreach activities/presentations/workshop delivery in external settings
  • Responsible for the coordination of the registration process and communication of logistics (dietary needs; locations; roles, responsibilities and requirements of volunteers; work schedules etc.).
  • Coordinates the necessary material/information required to support the annual and interim report process.
  • Follows-up with participants to collect feedback forms and surveys.
  • Tracks metrics, analyses data and creates reports as required.
  • Provides onsite support and facilitation for events.
  • Develops project plans, including schedules, presentations, marketing and promotional materials, as well as budgets with defined resource allocation for submission to Manager.
  • Assists with proposal writing, and program development
  • Maintains the information management system.
  • Performs other duties as assigned.
Qualifications

What you bring to the role:

Education

A two-year diploma in Social Services, Child and Youth Worker, Event Management, Community Development, Marketing, or related field.

Experience

1-2 years of experience in a relevant human services setting working with children or youth, and/or event management experience including the administrative tasks associated with these activities as outlined below:

  • Excellent written and oral communication skills
  • Experience working effectively in collaborative initiatives with internal and external stakeholders
  • Excellent planning and organizational skills including ability to manage multiple tasks and meet deadlines.
  • Data management and analysis skills.
  • Ability to work both independently and as a member of a team.
  • Computer competency, including a good working skill set for Microsoft applications.
