The Ottawa Food Bank is seeking a Coordinator, Data Management and Analysis to lead the oversight and optimization of our shared client intake system (Link2Feed). This permanent role focuses on ensuring data integrity, security, and usability across our network while transforming data into actionable insights that drive decision-making and improve service delivery. The successful candidate will collaborate with internal teams and community partners to strengthen data stewardship, streamline processes, and support evidence-based strategies that align with our mission to fight food insecurity

The Ottawa Food Bank is the primary emergency food provider in the National Capital Region, supporting nearly 100 community food programs. With over 556,000 annual visits, including 37% children, we distribute close to 8.3 million pounds of food each year, thanks to the generosity and support of our community.
SUMMARY
Reporting to the Officer, Data and Research, the established permanent position of Coordinator, Data Management and Analysis will lead the oversight and optimization, of the Ottawa Food Bank network's shared client intake software (Link2Feed), ensuring data integrity, security, and usability across our network.
As the Coordinator, you will be instrumental in transforming data into actionable insights that drive decision-making, improve service delivery, and strengthen our ability to fight food insecurity. You'll collaborate across departments and with community partners to enhance data stewardship, streamline processes, and support evidence-based strategies that align with our mission.

MAJOR RESPONSIBILITIES
Monitoring and Data Quality Control (25%)
Safeguard the integrity, confidentiality, and security of client data within the Link2Feed system, ensuring compliance with privacy standards and organizational policies.
Administer user access across the network, including account creation, monitoring, deactivation, password resets, and responsive user support.
Manage and maintain client profiles by identifying and merging duplicates, anonymizing records upon request, and ensuring accurate data representation.
Implement and continuously refine monthly data quality control protocols to uphold high standards of data accuracy and consistency.
Conduct regular data exports and reviews; engage with partner agencies to identify and resolve challenges related to data entry and security practices.
Analyze data quality trends to inform the development and delivery of targeted user training programs, fostering a culture of data stewardship across the network.
Reporting and Analysis (25%)
Extract, analyze, and interpret data from Link2Feed to produce timely and accurate monthly reports, as well as strategic insights that inform organizational planning and performance measurement.
Collaborate cross-functionally with internal teams, including Advocacy, Policy, Finance, and Communications to respond to data requests and support evidence-informed initiatives.
Contribute to external reporting requirements by preparing and submitting data to key partners such as Food Banks Canada and Feed Ontario, ensuring alignment with sector standards.
Integrate Link2Feed data with other strategic projects and datasets to enhance organizational understanding, drive innovation, and support continuous improvement.
User Support (20%)
Serve as the primary point of contact for all Link2Feed-related inquiries, providing timely and effective support to users across the Ottawa Food Bank network.
Monitor and manage the shared user support email account, ensuring prompt and professional responses to technical issues, access requests, and general inquiries.
Advocate for system enhancements and functionality improvements by liaising with Food Banks Canada and other external partners, representing the needs and experiences of local Link2Feed users.
Design, implement, and maintain comprehensive training and communication plans to support Link2Feed users, tailored to varying levels of technical and data literacy.
Communicate system expectations, updates, and best practices clearly and concisely to diverse audiences, including Ottawa Food Bank staff, member agency representatives, and food bank visitors, ensuring accessibility and understanding.
Data Support (20%)
Provide specialized data support to the Officer Data and Research, contributing to high-impact projects and organizational initiatives.
Conduct preliminary data analyses and surface actionable insights to inform strategic planning and operational decision-making.
Assist in the collection, validation, and analysis of data for key organizational projects, ensuring accuracy and relevance.
Deliver tailored data insights and visualizations to Ottawa Food Bank staff, adapting communication to varying levels of data literacy to maximize understanding and utility.
Documentation & Data Governance (10%)
Develop, maintain, and continuously improve standard operating procedures (SOPs) and internal manuals related to data processes and systems.
Collaborate with Communications and Administration teams to produce clear, user-friendly documentation that supports consistent data practices across the network.
Ensure alignment of data management practices with privacy legislation, internal governance policies, and sector-wide standards.
Actively participate in organization-wide data governance initiatives, serving as the designated Link2Feed data steward and championing responsible data use.
KNOWLEDGE AND COMPETENCIES
Strong quantitative data skills, including acquisition, processing, organization, analysis, and reporting.
Advanced proficiency in Microsoft Excel (e.g., pivot tables, logic formulas).
Excellent communication and interpersonal skills.
Ability to translate technical information into accessible language for diverse audiences.
Strong numeracy, data literacy, critical thinking, and adaptability.
Proven ability to manage multiple projects and meet deadlines.
Understanding of Canadian privacy laws and best practices, particularly as they relate to client safety.
Experience with qualitative data analysis, including theming and integration with quantitative data is considered an asset
Familiarity with programming, open-source statistical or data analysis tools is an asset
EDUCATION AND EXPERIENCE
Post-secondary degree in Data Science, Statistics, Social Sciences, or a related discipline with a strong emphasis on quantitative analysis or data management.
Demonstrated experience working with data in academic, research, or professional settings, including data collection, analysis, and reporting.
Experience in customer service, stakeholder engagement, or user support, with a focus on responsiveness and relationship-building.
Familiarity with the social service sector, including an understanding of its data needs, challenges, and community impact.
Completion of Tri-Council Policy Statement: Ethical Conduct for Research Involving Humans (TCPS2) training is required (may be completed upon hire).
RESPONSIBILITY FOR CONTACTS
This position requires ongoing and proactive communication with a range of internal and external stakeholders. The incumbent maintains regular contact with colleagues and member agencies to understand operational challenges, respond to data-related inquiries, and provide timely support. They frequently engage with organizational leadership to present data-informed recommendations, business cases, and updates related to data infrastructure, quality, and strategic initiatives. In addition, the role involves direct collaboration with the external service provider, Link2Feed, and our partners Feed Ontario and Food Banks Canada, to troubleshoot system issues, escalate concerns, and advocate for improvements that enhance functionality and user experience.
PROBLEM SOLVING
This role requires advanced critical thinking and evaluation skills to assess complex situations and contribute to the development of effective policies and procedures. The incumbent regularly resolves technical and analytical challenges related to Link2Feed and data systems, identifies root causes of recurring issues, and implements corrective actions to improve system performance and data quality.
SUPERVISION
While this position does not include direct supervisory responsibilities, the incumbent may occasionally oversee student placements, youth interns, or volunteers, providing guidance and support as needed.
CONSEQUENCE OF ERRORS
Errors in this role could compromise the integrity of data collection, storage, and analysis processes, potentially leading to inaccurate reporting or the inappropriate handling of personal information. Such issues may undermine decision-making at the Ottawa Food Bank and pose risks to the privacy and safety of food program visitors. Mistakes in user management or access control could result in serious privacy breaches and legal liability for the organization and its partners.
WORKING ENVIRONMENT AND TRAVEL
Work is primarily performed in a professional office setting. Occasional travel within the Ottawa region may be required to visit member agencies, external partners, or attend stakeholder meetings.
PHYSICAL AND MENTAL REQUIREMENTS
There are no exceptional physical or mental demands beyond those typically associated with professional office work. The role requires sustained attention to detail, analytical thinking, and the ability to manage multiple priorities.
LANGUAGE REQUIREMENTS
Excellent verbal and written communication skills in English are required. The ability to communicate in French or other languages is considered an asset.
