Description
Working independently under general direction of the Director of Office (DOO), Vice-President and Principal (VPP), the incumbent is responsible for providing support to the Director in managing the administrative and strategic functions of the Office of the VPP including responding to the objectives and priorities of the Office and campus.
Working closely with the Director and collaborating regularly with teams across UTM, U of T and externally, the incumbent is responsible for correspondence, events and administrative coordination and implementation to ensure the work of the Office can be carried out efficiently and effectively. This includes (a) developing draft communications such as proposals, briefing notes presentations, and correspondence for review by the Director (b) developing and implementing event project plans, (c) undertaking detailed research on a wide variety of issues and topics, and (d) ensuring pro-active engagement with, and responsiveness to, relevant stakeholders within the portfolio.
The incumbent will coordinate communications and logistics, assist with, and advance projects, and undertake initiatives and daily activities within the Office of the Vice-President and Principal that require knowledge of confidential information about staffing, campus strategic plans and priorities, and new institutional directions. The role will continue to evolve and the individual must be willing to respond to the given priorities of the day and be willing to work cooperatively in a challenging and dynamic environment.
Required Qualifications:

Education:
University degree required or an equivalent combination of education and experience.
Experience: Minimum five (5) years’ experience in administration and/or event/project coordination support preferably in a University setting; experience coordinating complex and multi-stakeholder event/projects including planning, production and management of large and small high profile events for diverse and distinguished guests; experience with the University would be an asset, knowledge of university policies and procedures, and an understanding of the University’s organizational structure, including its governance; experience conducting research, producing detailed and comprehensive reports from a large volume of information and presenting on the research. Experience with higher education sector and public sector administration is an asset.
Skills:
Advanced computer skills in Microsoft Office (must be able to set up templates in Word and Excel, and prepare sophisticated PowerPoint presentations), familiarity with Acrobat and other Adobe software; capable of setting up and organizing shared drives; scheduling software; demonstrated excellent writing and communication skills; superior organizational skills in planning, events/project management and task coordination with a demonstrated high level of attention to detail; strong analytical, and problem solving skills; excellent presentation, intercultural, and interpersonal skills. Ability to maintain strict confidentiality.

This is a one-year term assignment.
