ABOUT THE POSITION



The Corporate Services Coordinator will be responsible for supporting the office administrative functions for all SkilledTradesBC offices, including remote offices and will report directly to the Manager, Procurement & Facilities. This will include monitoring security services, coordinating courier and other vendor services, coordinating facilities asset management, office equipment planning, purchasing and maintenance, corporate travel, supporting meeting room facilities including A/V equipment, and other tasks as assigned. Responsibilities may also include administrative support for other areas of Corporate Services, including contracting and procurement support.



This role operates under minimal supervision and requires a high degree of attention to detail, and ability to organize and manage multiple concurrent priorities to best support SkilledTradesBC offices. This position will be the primary internal resource for SkilledTradesBC staff with their requests for office administrative support and external contact for Facilities vendors and is integral to maintaining the high quality and timely service of office support within the SkilledTradesBC offices. The coordinator should have a high level of competence in administrative support, customer service, documentation and records management, and written and verbal communication.



RESPONSIBILITIES/ACCOUNTABILITIES



Operational Support:



Process security services and requests for all SkilledTradesBC offices and administer security badges and access levels for employees. Order and provide inventory control of general office supplies, maintain storage rooms of supplies, and respond to specific supply requests. Organize and maintain the common office areas, including storage, archive, copy areas and kitchen and meeting room spaces. Administer courier contracts for Richmond office. Participate in the onboarding and orientation of new hires regarding office functionality, desk space allocation and safety tour.

Facilities Support:



Responsible for daily facilities requests from staff for equipment repairs and approved special orders. Plan and maintain office equipment by completing preventive maintenance, troubleshooting failures, calling for repairs and monitoring equipment operation. Schedule and oversee office repairs, modifications and facility maintenance with the landlord(s) and various contractors. Schedule and oversee repairs to furniture and office equipment. Schedule and oversee regular disposals and maintain accurate inventory records. Monitor major office equipment and systems and arrange repairs (such as A/V equipment in meeting rooms, HVAC system, alarm systems). Serve as a point of contact for activities and deliverables of the general contractor(s) and subcontractors for any construction project with SkilledTradesBC's facilities. Office-wide communication with STBC employees regarding ad hoc and ongoing facilities issues.

Administration and HR Support:



Maintains and files facilities-related trackers and filing systems. Prepares, shares and archives monthly Facilities documentation. Assists in obtaining/distributing office assets and equipment in partnership with Human Resources and IT. Updates and maintains assigned asset management lists of furniture and IT equipment. Provides information to managers and employees regarding corporate services, facilities and/or human resources related inquiries. Ensures inquiries from SkilledTradesBC staff and all external parties are addressed in a timely manner. Assist Human Resources in providing and tracking all ergonomic assessment and equipment.

SkilledTradesBC Programs and Committees Support:



Permanent member in the Joint Occupational Safety and Health Committee (JOSH); support SkilledTradesBC office monthly safety inspections and coordinate ongoing maintenance of SkilledTradesBC's overall safety requirements and equipment. Support in the implementation of initiatives, activities, and events to support health and safety and employee engagement. Support Other Corporate and Departmental Projects as required

EDUCATION/EXPERIENCE



Post-secondary degree or education in Business, Office Administration, or related field; an equivalent combination of education and experience is preferred Demonstrated experience in office administration in a corporate environment Strong organizational skills with ability to multitask and prioritize requests from multiple stakeholders Previous experience in data entry and/or records management Proven ability to anticipate, plan for and mitigate issues by maintaining organizational oversight of multiple locations and administering contracts with facilities vendors High attention to details and effective communication skills to respond to clients through in-person, phone and email requests Ability to work independently with minimal direction, including completing day to day priorities Demonstrated tact, diplomacy, confidentiality, and discretion in handling sensitive departmental and corporate matters Proficiency in Microsoft Office programs including Word, Excel, Outlook, SharePoint, Teams, and PowerPoint (intermediate level) and experience with Adobe programs will be an asset Previous experience in the public sector an asset

COMPENSATION



Salary Band C:

$ 65,421 - $88,512
