Position Title: Coordinator, Direct Marketing & Annual Giving

Reports To: Manager, Annual Giving & Loyalty Marketing

Status: Permanent Full Time

Work Location: Trillium Health Partners Foundation office at 89 The Queensway West, Mississauga, with occasional work at Credit Valley Hospital and Queensway Health Centre sites with some remote work available.

The Role

Reporting to the Manager of Annual Giving and Loyalty Marketing, the Coordinator will support the Annual Giving team, in direct marketing and annual giving activity including cultivation and stewardship of annual giving donor portfolio. In addition to providing support to the Manager of Annual Giving.

PRIMARY RESPONSIBILITIES

  • Lead the administration, execution, and coordination of the employee 50/50 program including weekly draws + Reporting + Coordination with Winner, Bi-weekly in house ticket printing, managing opt in and opt out from program, financial tracking and reporting, coordination with payroll and more. Marketing plan of program + execution in coordination with employee giving & marketing team. Applications and reporting for lottery licenses with AGCO. Note there is an on-site requirement for this program. (*draws must be completed on-site at foundation office every Wednesday. Additional hospital site or event activity may also be required.)
  • Conduct donor thank you calls and other communication as part of ongoing donor stewardship activities.
  • Fulfilment of annual giving program acknowledgements. Manage lists and the printing/mailing of pins, cards, letters, email, etc. (*some on-site, foundation/hospital site activity required.
  • Assist DM team with the development of campaign/appeal briefing documents, review/proofing of creative and data files and other quality control measures to help ensure the accurate completion of program marketing efforts.
  • Donor communications including responses to donor inquiries for annual giving programs, complaints and escalation of issues as appropriate.
  • Create and manage ongoing status and campaign reports.
  • Includes Raiser\xe2\x80\x99s Edge (RE) data entry to capture donor activity for tracking and reporting purposes and ensures all donor interactions are accurately recorded and updated in RE.
  • Responsible for project managing various aspects of our annual giving programs; delivering projects on scope and on time or flagging issues if necessary.
  • Assists in managing vendors and suppliers (for example: Canada Post, printers and external agencies, etc.), ensuring budgets and deadlines are met based on agreed upon goals & KPIs. Reports and manages issues that arise with vendor to resolution.
  • Works with Corporate Services department to ensure timely, accurate and proper gift processing, data pulls & list management, including monitoring & evaluation of data.
  • Builds strong, collaborative relationships within the Foundation, with key departments within the hospital and with various vendors that will be managed by this role.
  • Champions an environment that ensures effective sharing of information and collaboration with other Foundation programs and teams.
  • Committed to learning and is informed on best practices, new tools and technology in digital fundraising and marketing.

QUALIFICATIONS
  • 1-2 years of fundraising experience, particularly with annual giving programs
  • University degree in business, marketing, communication or other related disciplines
  • Knowledge of tactics and best practices stewarding donors including developing trigger-based and lifecycle based automated communications
  • Experience in, and comfort with, managing vendor and supplier relationships as an extension of the team
  • Strong interpersonal skills, effective at building relationships and able to work well with donors, colleagues and key Foundation and Hospital stakeholders at all levels
  • Ability to work independently and efficiently in a busy environment managing multiple projects, shifting priorities, and tight deadlines
  • Strong organizational and project management skills with a strong personal commitment to excellence
  • Highly professional and articulate with sensitivity, discretion and an appropriate demeanour.
  • Experience working in hospital environment, and / or health-related charity an asset
  • Experience with DM, door-to-door fundraising and / or telemarketing campaigns an asset
  • Experience with digital fundraising \xe2\x80\x93 online donation forms, P2P platforms, email, paid & organic digital advertising, lottery, etc.
TECHNICAL SKILLS
  • Strong analytical skills and business acumen
  • Strong proficiency with Microsoft Office suite (PowerPoint, Excel and Word in particular).
  • Donor/Client database experience (Raiser\xe2\x80\x99s Edge Experience strongly preferred)
  • Experience with Luminate Online, TeamRaiser, WordPress would be an asset
  • Experience in digital advertising \xe2\x80\x93 Google Grant, Google advertising, Facebook, Instragram, Bing would be an asset.
  • Experience with 3rd party donation platforms such as CanadaHelps, etc. would be an asset
Work Environment
  • Willingness to work flexible hours and to tight deadlines as needed, prioritizing tasks with the Manager\xe2\x80\x94some after-hours work may be required.
  • This role is required to be in the Foundation office (2085 Hurontario Street) with some flexibility to work remotely.
  • Valid driver\xe2\x80\x99s license and access to a reliable vehicle an asset.
