About This Opportunity

The Administration Coordinator provides support within the Distribution Center. They perform clerical duties in a Distribution Center in accordance with standard administrative office procedures and manage payroll adhering to the collective bargaining agreement (CBA).

Responsibilities

  • Review and validate payroll hours worked for approx. 300 unionized employees (Warehouse, Distribution, Merch and Fleet)
  • Keep track of leave time, such as vacation, banked OT, beech week and sick time
  • Identify, investigate, and resolve any payroll discrepancies in a timely manner
  • Assist in administration of seasonal onboarding process, Core Requirements presentation and new hire paperwork
  • Maintain Employee files including time off requests, vacation bidding and vacation use
  • Track new positions, 30-day tracking of internal moves and probation period tracking
  • Complete administrative work such as booking meeting rooms, organizing catering, and organizing and distributing mail. May receive and send courier packages.
  • Assist with the general financial and operating analytics and activities of the organization
  • Compile management reports: ie Training Hours, Temp Hours, Modified Hours, ELS Hours
  • Coordination of vendor communications and payment
Qualifications
  • Highschool diploma required
  • 2+ years of business administrative related experience in a fast-paced environment
  • Post-Secondary Education in Business Administration or similar area would be considered an asset
  • Working knowledge of various computer programs: Word, Excel, SAP, etc.
  • Effective verbal and written communication skills
  • Strong interpersonal and organizational skills
  • Capable of working cross functionally with multiple departments on projects, as part of a team
  • Experience managing employee payroll
  • Experience processing invoices, reconciling statements, etc.
  • Experience supporting Senior Management and Leadership team would be beneficial
