Conveyancing Administrator

Job Description



Our Calgary client is seeking a detail-oriented individual to join their team to review and assist with Real-Estate transactions. In this full-time and permanent role, the Administrator will manage legal documents to support Brokers and other departments as required. Administrators may also be required to assist with coaching & mentorship of new hires.

Responsibilities include:

  • Read and understand legal documentation related to Real Estate transactions.
  • Ensure data accuracy and resolve data quality issues.
  • Enter and update information related to active transactions within the relevant database.
  • Prepare forms to create and correct records related to suppliers, and billing customers.
  • Track deals, retrieve and distribute invoices to Brokers through Accounting or CRM software.
  • Analyze and resolve missing payment inquiries, and preparation of payment reissue forms.
  • Coordinate with internal and external stakeholders to update deal information and communicate issues and/or resolutions.
  • Support other administrators by reviewing progress and providing guidance as needed.
  • Provide peer mentorship and assist in training new hires as required.



Requirements include:
  • Proven track record of completing tasks and meeting high standards.
  • Demonstrated ability to independently complete tasks and resolve conflicts.
  • Excellent time management skills, enjoys multitasking.
  • Strong written & verbal communication and customer service skills.
  • Team-player capable of building strong collaborative relationships with peers and internal business partners.
  • Experience working with Salesforce, Workday, or other Accounting/Customer Relationship Management software is well-regarded but not required.
  • Previous experience or knowledge of Real Estate industry an asset.
