Position Summary
The
Conveyancer & Real Estate Intake Coordinator
is responsible for all aspects of the conveyancing process from start to finish, ensuring they offer great client service along the way. Attention to detail is key, the successful incumbent will have exemplary analytical skills and the ability to utilize firm precedents in their drafting, putting together exactly what each client needs. The Conveyancer & Real Estate Intake Coordinator will join a team of legal professionals who are experts in their field, and a team of lawyers who trust in the ability of Beacon Law Centre staff. This position is open in our Sidney, Royal Oak, and Brentwood Bay office locations.
Accountabilities
Manage all real estate intake tasks, including client communication, opening files, conducting conflict checks, gathering client information, and preparing initial documentation.
Manage and oversee all aspects of the conveyancing process while ensuring compliance with legal requirements.
Oversee the completion of transactions, expediting matters as necessary.
Prepare and draft legal documents as required during the conveyancing process regarding property transactions, including transfers, contracts and agreements.
Perform analysis of property titles and other relevant documentation to identify any potential issues or discrepancies.
Communicate effectively with both internal and external stakeholders, ensuring a high level of client service.
Keep abreast of changes in property law and accompanying regulations to ensure all transactions are compliant.
Administer client files, including opening, conflict searches, client identification, scanning, electronic filing, billing, and invoicing.
Coordinate and schedule client appointments, communicate with clients to gather information, and provide updates, ensuring deadlines are met.
Provide other administrative support as necessary.
Who You Are:
3+ years professional experience in a Conveyancing role at a law firm.
Demonstrated skills in data analysis, able to identify potential issues before they manifest.
Strong client focus, the ability to build and maintain positive relationships ensuring trust is built and retained.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.,), BC Online, LTSA, BriefConvey, and Unity.
Strong written and verbal communication skills, able to communicate at all levels of an organization, internally and externally.
The ability to always practice sound discretion and judgement.
Legal Assistant or Paralegal certification or diploma considered an asset.
Valid driver's license is required.
