Your Role & Key Responsibilities
Prepare detailed pre-listing packages and Comparative Market Analyses (CMAs).
Attend listing appointments and coordinate with photographers, stagers, appraisers, and other service providers.
Oversee lockbox installation, management, and removal for listings.
Assist with home staging setup and coordination.
Maintain accurate client data within Follow Up Boss (CRM) and other systems.
Organize property files in line with CMA and listing procedures.
Support the preparation and management of all transactional paperwork, including offers, amendments, waivers, and listing agreements.
Maintain both digital and physical filing systems.
Send personalized follow-up correspondence after client presentations.
Create and distribute marketing materials such as monthly newsletters, flyers, and neighbourhood updates.
Track, organize, and record team expenses.
Perform other administrative and client-support duties as needed.

Required Experience
Minimum 4 years of real estate administrative experience (mandatory).
Proficiency with real estate platforms: Realm, DocuSign, WEBForms,Follow Up Boss, Realtorlink, GEO, MPAC, etc.
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat PRO.
Experience using Canva for design and marketing.
Familiarity with CRM tools (Follow Up Boss, Agent Locator, etc.).
Comfortable managing self-directed projects and deadlines.
Basic understanding of social media marketing (Instagram, Facebook, Google Analytics).
Additional Qualifications
Valid Ontario Driver's License and reliable vehicle (mandatory).
Real Estate License preferred, not required.
Experience with Dropbox and Google Drive considered an asset.
Comprehensive onboarding and ongoing training provided.
