Position Summary: The Contract Management and Administrative Officer is a key role in AUFC\xe2\x80\x99s team and will manage contract requirements as well as support the day-to-day operations. Based in Toronto, this role is an excellent opportunity to help to build an organization, see the behind-the-scenes work of a small but fast-growing nonprofit organization and further a career in mission-driven work. The Contract Management and Administrative Officer, in their capacity of contract management, will work with the Executive Director to ensure all compliance documentation and contract reporting requirements are effectively and efficiently completed. In their capacity as administrative officer, they will handle office set-up, expense processing, scheduling, data entry as well as other tasks. They will work closely with a diverse team across Ghana, Canada, and the US to plan events, steward donors, support the International Boards of Directors, and work on special projects as needed. The ideal candidate will be self-directed, extremely detail-oriented, and share an affinity for Ashesi\xe2\x80\x99s mission. This position will be hybrid and include remote working options as well as days in the office. Individualized arrangements will be made upon contracting. The Contract Management and Administrative Officer will carry out management and administrative duties of the organization including, but not limited to the following. Essential Duties and Responsibilities: Contract and Board Management

  • Develop and maintain internal systems to ensure comprehensive documentation management
  • Oversee reporting required by Canada Revenue Agency (CRA) and major donors ensuring timely and thorough compliance
  • Track project performance and analyze deliverables according to requirements
  • Support and liaise with all contracted resources including accounting, legal and insurance
  • Ensure that all manners of Board activities adhere to standards including notification of meetings, maintenance of meeting minutes and other record keeping obligations
  • Work with the Executive Director to grow AUFC\xe2\x80\x99s partnerships, provide financial reports and develop internal policies.
General Administration
  • Oversee all aspects of the organization\xe2\x80\x99s information infrastructure including electronic file management, email, contact management, telecommunications and website
  • Provide administrative support to the Executive Director including travel plans, scheduling as well as compiling and process reimbursements, expense reports, and checking requests
  • Liaise with teams within the Ashesi Community for meetings and events planning, as well as to ensure alignment
  • Manage logistics for in-person and remote Ashesi events, including purchasing supplies or catering, setting up facilities, managing RSVPs, coordinating with venue and/or hosts, and running virtual conference software
  • Liaise with Board members as needed
Skills/Qualifications:
  • 3-5 years of experience in contract management, compliance and CRA reporting
  • Seasoned experience in executive administration including managing administrative systems for nonprofit organizations
  • Minimum undergraduate degree or certificate in a related field (e.g., paralegal, finance, administration etc.)
  • Excellent written and oral communication and interpersonal skills
  • Extremely detail-oriented with strong organizational skills
  • Strong financial skills an asset
  • Ability to identify and complete work, and manage multiple projects independently
  • Ability to work with colleagues remotely across international teams in the USA and Ghana, including flexibility to accommodate across time differences, as necessary
  • Excellent proficiency with Microsoft applications. Knowledge of database systems an asset.
  • Ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds
