The Contract Coordinator is responsible for the contract maintenance activities related to the coordination and completion of standard enabling agreements for gas, power, financial and environmental products (solar, wind, hydroelectric power, biogas, carbon offsets, etc.). These activities include initial drafting of standard contracts in close liaison with Commercial Advisors, dispatch of draft contracts to customers, collaboration with Commercial Advisors to follow-up until the contract is complete and subsequently set up of the contract in the applicable system of record. The Contract Coordinator is also responsible for drafting and dispatch of non-standard manual confirmations, working in close partnership with Commercial and Trading.

Accountabilities

  • Generate standard fit for purpose agreements and non-standard manual confirmation.
  • Process customer inquiries (both internal and external) and maintain contract related data in systems.
  • Interface with Commercial, Trading, Credit, Legal, Commercial Advisors and other various functions to ensure timely completion of pending contracts and confirmations.
  • Prepare approval forms and process contracts for execution internally and externally.
  • Complete set up of fully executed contracts in all applicable systems.
  • Possess the knowledge and ability to explain and discuss contract terms and deal terms as specified on a transaction confirmation.
  • Handle contract and confirmation queries from third parties, seeking advice from other Contract Coordinators or Commercial Advisors when required.
  • Process requests for assignments, mergers, and name changes. Ensure all applicable systems are updated.
  • Ensure the Contracts Database(s) are updated in a timely manner so that other departments (i.e. Legal, Credit, Commercial and Trading) and the Commercial Advisors are kept apprised of the status of a contract.
  • Run and analyze various system reports to ensure financial control measures.
  • Maintain contract/confirmation processes and procedures.
  • Assist in special projects and tasks as requested by Team Lead.
  • Provide mentoring, guidance and training to other Contract Coordinators.
What we need from you
  • Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer.
  • College degree preferred.
  • 2 or more years of professional work experience. Prior experience in trading and/or the energy industry, and a desire to learn about renewable energy is a plus.
  • Previous exposure to contracts and/or confirmations processes and records management would be an asset.
  • Demonstrated ability to quickly identify, resolve problems and adapt aspects of Trading Contracts & Legal frameworks (this may include knowledge and understanding of the clauses within Shell Energy's Forms of Energy Agreements and the impacts of changing clauses, along with some understanding of external industry standard agreements).
  • Must possess a high degree of accuracy and strong attention to detail with ability to multitask.
  • Ability to consistently carry out activities to the required standards.
  • Working knowledge and interaction between various departments.
  • Ability to operate with minimal supervision, meet deadlines and prioritize multiple activities.
  • Ability to recognize issues by analyzing a large volume of information in a systematic and logical way.
  • Ability to recommend modifications and improvements to the process, controls and financial security framework.
  • Good customer service and interpersonal skills with a professional attitude and ability to work well within a team environment.
