BOXX Modular rents, leases, repairs, renovates and sells temporary and permanent commercial modular buildings, including standard buildings ready for immediate delivery and custom-designed new-manufactured solutions. We work with our customers to plan and provide workplace solutions, and supply additional services such as delivery and installation, furniture rentals and more




We have a full-time position for a

Contract and Fleet Administrator

in Prince George, BC.





Reporting to the branch manager, the Contract and Fleet Administrator works cooperatively with sales, operations, and other members of the Britco team. The successful Contract and Fleet Administration is detail and process orientated with a strong base in accounting and contract administration. The Contract and Fleet Administrator is responsible for providing support and insight on monthly and quarterly financial results, contract review and billables.




Duties and Responsibilities:




Contract Administration




Manage contracts throughout their lifecycle after award, including:




+ Creating Purchase Orders (POs) and GRPOs.
+ Processing AP invoices for payment.
+ Timely invoicing of Receivables, with targets set based on project type.
+ Entering and maintaining contract documents, purchasing, and billing data in SAP.
+ Administering asset rental statuses in SAP.
+ Obtaining and managing contract change orders in collaboration with the sales team.
+ Auditing contracts to ensure compliance with company standards.

Financial Support




Execute month-end close duties, including uploading journal vouchers, analyzing monthly revenue and expenses, and making adjustments as needed. Provide regular updates on Accounts Receivable status, ensuring alignment with contract payment terms.

Customer and Vendor Support




Address customer inquiries related to rental billing and operations promptly and professionally. Coordinate with sublease vendors and subcontractors to ensure AP invoices align with agreements and are processed within specified timelines.

Administrative Tasks




Maintain and organize electronic project files. Contribute to the team's overall success through effective collaboration and problem-solving. Perform other related tasks as assigned.

Qualifications:




At least 3 years of experience in AR/AP, invoicing, billing, accounting administration, or contract administration is essential. Strong organizational, prioritization, and multitasking skills. Proven ability to manage multiple priorities in a fast-paced operational environment. Experience with construction contracts or project administration is an asset. Exceptional problem-solving and customer service skills. Ability to maintain a calm and professional demeanor when addressing challenges and working toward solutions. Collaborative mindset with the ability to contribute positively to a productive and enjoyable team environment.
