Dark Bay Construction is a Halifax-based cladding subcontractor specializing in exterior cladding systems, air/vapour barriers, insulation, and sub-structure for mid- to high-rise residential buildings. We work with leading general contractors across HRM and operate with a strong focus on quality execution, organization, and practical site management.
We are a growing company looking to add a reliable, detail-oriented team member to support construction operations through administration, documentation, site coordination, and schedule awareness.
Position Overview
This is a hybrid office and site-based coordination role supporting construction operations. The position works directly under the General Manager and acts as an organizational and early-warning support role for project documentation, safety records, and schedule status.
This role supports safety documentation and reporting processes only and does not assume responsibility for site safety, project schedules, or crew management. All safety responsibility remains with site supervision and management.
Key Responsibilities
Operations & Administration
Organize and maintain digital and physical project files
Assist with spreadsheets, tracking logs, and internal documentation
Follow up on invoices, purchase orders, and supporting documentation
Assist with scheduling coordination and internal communications
Book staff events, training, and meetings
Provide day-to-day operational and administrative support to the General Manager
Safety Documentation Support
Monitor SiteDocs to ensure required safety documentation is being completed
Follow up with site staff regarding missing or incomplete safety forms
Organize and maintain safety records and documentation
Assist with submission of incident reports to general contractors and clients, with input from site staff and supervision
Support COR-related administrative documentation
This role does not act as a safety officer, conduct investigations, or assume responsibility for site safety.
Site Presence & Schedule Awareness
Attend job sites periodically to observe progress and support documentation
Track basic schedule indicators (planned vs. actual progress)
Flag potential schedule slippage, manpower constraints, or access issues to the General Manager
Assist with deficiency tracking and project close-out documentation
Communicate professionally with general contractors, consultants, and clients as required
This role does not manage project schedules, direct crews, or make commitments on behalf of the company.
Qualifications & Experience
Experience in construction administration, coordination, or operations preferred
Comfortable working both in an office environment and on active construction sites
Strong organizational skills and attention to detail
Ability to observe site conditions and communicate concerns clearly
Proficient with spreadsheets, email, and document management
Ability to work independently and follow up on tasks
Strong written and verbal communication skills
Valid driver's license and ability to travel to sites within HRM
Experience with SiteDocs, COR documentation, or construction scheduling is an asset but not required.
