Operations Coordinator (full-time, permanent)
Shift Schedule: Monday - Friday
Location: Surrey, British Columbia (in office)
Forbes Bros Ltd. is currently looking for experienced Operations Coordinator (full-time, permanent) to play a key role in supporting day-to-day operations between two established portfolios in recurring revenue (MSA) and Project work. This position is ideal for someone who thrives in a fast paced environment and brings proven experience with quantity and unit take-offs, cost tracking, change order management and report preparation - all essential to the daily operations of this role. The Operations Coordinator will work out of the Surrey, BC office, and will report directly to the Senior Coordinator. Additionally, the Operations Coordinator will ensure work order submissions, delays/changes and paperwork for all assigned work orders are completed in a timely manner.

Key Responsibilities:
  • Emulates Forbes Bros core value of 'WE WORK SAFE' in all daily tasks
  • Assist in Pre unit estimate creation in SM for GF assigned work orders
  • Daily Production Report review with field foreman where required and provide examples to Field foreman of what's required for billing
  • Support with designer and scheduling coordination as required. General follow-up on paperwork and documents for assigned work orders with general foreman to support close out package for clients
  • Escalate of work order issues/additional costs to contracts manager as needed
  • Support with permit application submission/follow up support and third-party subcontractor bookings for crews
  • Monitor, maintain and respond to emails in the subcontractor inbox
  • One call submissions for assigned work orders as required
  • Confirm field completion process within SharePoint portal and Client Portal
  • Provide Subcontractor invoice verification/approvals
  • Act as the point of contact for all invoicing and general administrative questions for assigned work orders
  • Create applicable during/post change orders for all assigned work orders
  • Perform quantity and unit take offs, cost summarization, and engage quotes from incoming designs and drawings
  • Track and file important written and verbal details/communications to support change order justification
  • Assist in overall construction coordination, planning and identifying potential risks, and resolving field technical issues
  • Perform other tasks related to this function as assigned
Candidate Requirements:
  • Minimum one (1) years' experience in an Operations Coordinator or similar role in the construction industry, is required
  • Knowledge of construction equipment and techniques, drawings and specifications, building materials, quality, safety, construction sequences and installation specifications, strongly preferred
  • Demonstrated understanding of cost summarization and quantity take-off, an asset
  • Strong computer skills and experience having worked with multiple platforms and operating systems including MS Office, Excel, MS Project
  • Excellent communication skills, with the ability to direct a team to efficiently and effectively complete jobs within deadlines
  • Able and willing to work in field/on-site with travel with work hour flexibility to accommodate to remote/on-site work schedules
  • Able and willing to present a valid Class 5 Driver's License and an acceptable five (5) year drivers abstract
