Interlock Mechanical Services Ltd. is seeking a Construction Administration Assistant to join our growing team. This is a vital role for someone who thrives in a fast-paced environment, is highly organized, and has proven experience supporting construction operations from an administrative perspective.
This role is ideal for someone with a background in construction office administration who understands the workflow, documents, and timelines that drive successful projects.
About the Role
This position supports daily office operations and assists with documentation, scheduling, and general admin tasks. You'll be a key part of a small, hard-working team that values professionalism, efficiency, and a no-nonsense approach to getting the job done.
Key Responsibilities
Provide general administrative support to the office and field teams, including answering phones, managing emails, and internal coordination
Maintain accurate project documentation, including permits, inspection records, safety documents, and change orders
Prepare, edit, and manage documents such as contracts, job site paperwork, reports, and proposals
Support financial processes by assisting with invoicing, timesheet tracking, purchase orders, and expense reporting
Track and organize equipment rentals, tools, and office inventory
Coordinate with suppliers, trades, and clients as needed to support project progress and maintain communication flow
What We're Looking For
Minimum 2 years of administrative experience in a construction or trades-related office (required)
Strong understanding of construction workflows, terminology, and documentation
Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook
Excellent communication, time management, and organizational skills
Ability to prioritize and manage multiple tasks independently in a deadline-driven environment
Dependable, proactive, and comfortable working in a small, high-performing team
