The McMaster HealthICE (Innovation, Communication, and Entrepreneurship) initiative https://healthinnovation.mcmaster.ca/ initiative is seeking a creative Communications Assistant to join its team at The Clinic and The Heersink School of Biomedical Innovation and Entrepreneurship. The Clinic is a health innovation and entrepreneurship hub located in the Health Sciences library. It offers courses, coaching, mentorship, and other networking opportunities to enable health innovators to move their ideas forward towards commercialization. The Heersink School delivers the Master of Biomedical Innovation and other initiatives to advance health entrepreneurship at McMaster.
The Communications Assistant will work closely with the Marketing Manager and the Program Manager and innovation team to amplify the work, impact, and successes across our programs. This role will provide support within a growing team by creating social media content, creating engaging communications, and assisting with event promotion and coordination. The Communications Assistant will play a key role in building awareness, celebrating achievements, and strengthening the reach of health innovation and entrepreneurship initiatives.
General Description:
Organize and perform a full range of administrative duties that require a thorough understanding of established functions, policies, and procedures. Design multimedia content for print, web and video in accordance with University brand guidelines. Plan and coordinate a variety of events. Responsible for providing direction to others in how to carry out work tasks.
Duties and Responsibilities:
Greet visitors, answer or redirect general inquiries in person, by telephone, and via e-mail and respond independently to inquiries that are specific in nature and require a thorough knowledge of established policies and procedures.
Design multimedia content for print, web and video in accordance with University brand guidelines.
Liaise with a variety of stakeholders to promote department in print and online, in cooperation with internal departments.
Collect and develop content for a variety of communications including but not limited to, newsletters and press releases.
Collect, analyze, assess and summarize information relevant to the decision making process and developing recommendations for final approval and implementation.
Plan and coordinate a variety of events, committees and activities.
Prepare estimates of time and resources required for various events, conferences and activities.
Complete travel expense reports, electronic cheque requisitions and purchase orders.
Monitor budgets, verify data and reconcile event accounts.
Update and maintain information and content on websites and social networks.
Resolve issues relating to events, committees and activities.
Take meeting minutes for committee meetings.
Create a variety of documents including, but not limited to, correspondence, reports and procedure manuals.
Apply standard mathematical skills such as calculations, formulas, and equations to perform a variety of calculations.
Update and maintain confidential files and records.
Handle sensitive material in accordance with established policies.
Supervision:
Provide direction to others in how to carry out work tasks.
Ensures adherence to quality standards and procedures for short-term staff and volunteers.
Qualifications:
3 year Community College Diploma in Communications or Multimedia Design.
Requires 2 years of related experience.
Assets:
Experience with Adobe Creative Suite and WordPress.
Experience with social media accounts and developing written and creative content for posting that drives engagement and follower growth.
Knowledge of or experience with the innovation and entrepreneurship ecosystem.
Availability to start on prefferd start date; October 14, 2025
