Hiring Unit: Faculty of Science - Research and Grants Office

Job Summary:
We are seeking a Communications Assistant C to aid in the coordination of the 38th edition of Soup and Science.

About Soup and Science
Soup and Science, a long-running event hosted by the Faculty of Science, provides an opportunity for McGill students to learn about a wide range of research and innovation taking place at McGill and meet some of the professors directing this research. The next iteration of this week-long event will take place in Fall 2024.

Position Summary:

  • Under the supervision of the Research and Grant Officers, organize individuals, such as volunteers and caterers, as well as events, such as specific sessions within Soup and Science.

  • Act as a liaison between the unit and internal or external parties to provide various assistance or information.

  • Produce promotional material in collaboration with the Faculty of Science communications team, such as flyers, posters, videos, articles, and newsletters for use in reports, workshops, and info sessions.

  • Craft engaging emails to recruit potential speakers, as well as follow-up correspondence, and maintain a comprehensive spreadsheet to track email responses.

  • Advertise the event in collaboration with the Faculty of Science communications team using diverse channels, such as social media and internal newsletters.

  • Create and maintain the event website registration page

  • Assist with recruiting volunteers to support event logistics and execution on the day of the event.

  • Prepare event signage and name tags.

  • Prepare scripts and session flows for the event and communicate details to the host and volunteers via email.

  • Prepare presentations in the days leading up to the event.

  • Organize meetings and other special events as needed.

  • Create and review event surveys to gather valuable feedback.


Other Qualifying Skills and/or Abilities

  • Excellent written and verbal communication skills.

  • Keen attention to detail.

  • Ability to follow through on project timelines independently.

  • Proven experience in event organization.

  • Ability to work independently and with a team.

  • Strong organization and time management skills.

  • Proficient in Microsoft Suite, graphic design platforms, and social media for both professional and promotional purposes (e.g., Microsoft Excel, Canva, Mural, Facebook, and Instagram).

  • Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 on a scale of 0-4.
















Minimum Education and Experience: High School Diploma 2 Years Related Experience















Hourly Salary: (AMUSE C) $16.06















Estimated Number of Work Hours per Week: 15 (Part time)
