, you will play a key role in preparing, coordinating, and delivering compelling and compliant commercial proposals. Your goal is to ensure the quality, consistency, and competitiveness of each submission while meeting deadlines and fostering effective collaboration across internal teams.
KEY RESPONSIBILITIES AND DUTIES
1. RFP Management & Coordination
Review and analyze RFP/RFI documents to identify submission requirements, deadlines, and evaluation criteria.
Develop and maintain a clear project timeline, ensuring all deliverables are completed on schedule.
Coordinate internal review meetings, clarification requests, and approval processes.
Act as the main point of contact for all proposal-related communications, both internally and externally.
2. Proposal Development & Writing
Prepare, draft, and format proposal content, ensuring clarity, accuracy, and compliance with client requirements.
Collaborate with subject matter experts (operations, finance, IT, marketing, and legal teams) to gather and synthesize information.
Tailor standard corporate materials to meet the specific needs and objectives of each opportunity.
Edit and proofread proposal documents for grammar, consistency, and professional presentation.
3. Documentation & Compliance
Ensure all proposals meet mandatory requirements and are compliant with client specifications.
Maintain up-to-date records of corporate documents, standard responses, and proposal templates.
Manage version control and proper documentation of all submitted RFPs.
Support the collection of certificates, insurance documents, references, and other compliance materials required for submissions.
4. Collaboration & Communication
Liaise with multiple internal departments to coordinate inputs and obtain management approvals.
Work closely with the design/marketing team to produce visually appealing and brand-consistent proposal documents.
Communicate regularly with business development leads to align proposal strategies with corporate objectives.
Maintain a database of RFP opportunities and submission results, tracking success rates and lessons learned.
Identify potential new business opportunities through bid portals and procurement networks.
6. Administrative & Reporting Tasks
Manage proposal calendars, submission trackers, and performance metrics.
Prepare internal reports summarizing RFP activities, win/loss analyses, and improvement recommendations.
Support post-submission follow-ups, including requests for clarifications or presentations.
Contribute to the enhancement of RFP tools, templates, and processes for greater efficiency and consistency.
QUALIFICATIONS
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
Proficiency in document management on Microsoft Teams
Experience with design tools (Canva) preferred
Bilingual (English/French) is an asset.

2.Developpement et Redaction des Propositions

Collaborer avec les differents departements tels que : operations, finances, TI, marketing, equipes juridiques afin de recueillir et synthetiser les informations necessaires.
Adapter les materiaux standard de l'entreprise pour repondre aux besoins et objectifs specifiques de chaque opportunite.
Reviser et relire les documents des propositions pour en assurer la qualite grammaticale, la coherence et la presentation professionnelle.
3.Documentation et Conformite
Veiller a ce que toutes les propositions respectent les exigences obligatoires et soient conformes aux specifications du client.
Maintenir des dossiers a jour des documents de l'entreprise, des reponses standard et des modeles de propositions.
Gerer le controle des versions et la documentation appropriee de toutes les RFP soumises.
Soutenir la collecte des certificats, documents d'assurance, references et autres documents de conformite necessaires pour les soumissions.
4.Collaboration et Communication
Assurer la liaison avec plusieurs departements internes pour coordonner les contributions et obtenir les approbations de la direction.
Travailler en etroite collaboration avec l'equipe de design/marketing pour produire des documents de proposition visuellement attrayants et coherents avec la marque.
Communiquer regulierement avec les responsables du developpement des affaires pour aligner les strategies de proposition avec les objectifs de l'entreprise.
Maintenir une base de donnees des opportunites RFP et des resultats de soumissions, en suivant les taux de reussite et les lecons tirees.
Identifier de nouvelles opportunites commerciales potentielles via des portails de soumissions et des reseaux d'approvisionnement.
5.Taches Administratives et de Reporting
Gerer les calendriers des propositions, les suivis de soumissions et les indicateurs de performance.
Preparer des rapports internes resumant les activites des RFP, les analyses de gains/pertes et les recommandations d'amelioration.
Soutenir les suivis post-soumission, y compris les demandes de clarifications ou de presentations.
Contribuer a l'amelioration des outils, modeles et processus RFP pour accroitre l'efficacite et la coherence.
QUALIFICATIONS
Maitrise de la suite Microsoft Office (Word, Excel, PowerPoint, Outlook) et d'Adobe Acrobat.
Maitrise de la gestion documentaire sur Microsoft Teams.
Experience avec des outils de design (Canva) est un atout.
Bilinguisme (Anglais/Francais) est un atout
