Administrative Assistant

Key Responsibilities
The summary and key responsibilities of the
Administrative Assistant
include, but are not limited to:
You will be the first point of contact for customers. You will be responsible for greeting and welcoming them when they call in or arrive, assisting with providing information, repair updates, customer feedback and follow ups. You will support the process for estimates with warranty, complete audits for repair files, while maintaining that Easy, Efficient and Enjoyable experiences are always provided.
Provide exceptional customer service via person and telephone contact.
Coordinate and book customer appointments for Collision Center estimates and repairs.
Facilitate towing and storage transactions.
Follow up with Insurance companies for claim related correspondence.
Assist with workshop flow and estimated cycle time for completion of repairs.
Provide additional imaging and supplementary estimates when necessary.
Follow up with customer or Insurance partners for on repair status.
Maintain accurate documentation and obtain customer signatures as required.
Assist with final repair file audits.
Collaborate with administrative team for final invoicing.
Assist with health and safety documentation and annual inspections
Receive invoices and payments and coordinate with accounting team with receivables
Any other duties as required.

What you bring to the role
Post secondary and relevant courses.
experience in the motor vehicle body repair trade is an asset
Knowledge of Mitchell and/or Audatex Estimating is an asset, but not required
Possess a valid driver's license.
Ability to work independently in a busy environment.
Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment.
Strong organizational skills
Able to effectively communicate both verbally and in writing.
Able to work well under pressure.
Strong attention to detail.
Able to deal with people sensitively, tactfully, diplomatically, and professionally always.
Knowledge of Microsoft programs, Excel, etc.
Positive team player.
