Serve as the primary administrative contact for the club, liaising regularly with SWRSA, Ontario Soccer, and other governing bodies.
Ensure compliance with Ontario Soccer policies, procedures, and operational standards.
Support the Board of Directors with meeting preparation, documentation, minutes, and communications.
Attend Board meetings as a non-voting participant to provide administrative updates, operational insight, and support decision-making; attend committee meetings as required.
Maintain accurate records for registration, insurance, player cards, coach certifications, and volunteer screening.
Coordinate field permits, facility bookings, and town communications.
Assist in policy development and strategic planning to support long-term club growth.
Competitive & Player Development Coordination
Coordinate Rep team registration, tryouts, rostering, and player movement approvals with SWRSA.
Communicate regularly with Rep coaches, team managers, and club technical leads to ensure program alignment.
Support the implementation of Ontario Soccer's Long-Term Player Development (LTPD) model across all competitive age groups.
Facilitate coach education, referee mentorship, and player development initiatives.
Ensure timely submission of team documentation, league communications, and discipline reporting to SWRSA.
Communications & Stakeholder Relations
Provide consistent and professional communication with players, families, coaches, and officials.
Assist with public relations, newsletters, website updates, and social media announcements.
Support sponsorship, community outreach, and promotional initiatives as directed by the Board.
Operational Support
Maintain organized records of club inventory and storage.
Oversee uniform and equipment orders for Rep teams.
Track key dates, deadlines, and reporting requirements for all competitive programs.
Performance Expectations
Ensure all Rep teams are registered, rostered, and in compliance with SWRSA and Ontario Soccer deadlines.
Maintain effective communication between the club, the Board, and external stakeholders.
Demonstrate professionalism, reliability, and strong organizational management.
Contribute to a positive club culture that prioritizes player development, sportsmanship, and community engagement.
Qualifications & Requirements
Education & Experience
Experience in sport administration, recreation management, or a related field (experience in soccer organizations preferred).
Familiarity with Ontario Soccer's governance structure, policies, and registration systems
Knowledge of player development pathways and competitive team operations.
Skills & Abilities
Excellent organizational, communication, and interpersonal skills.
Strong time-management skills with the ability to meet deadlines and manage multiple priorities.
Proficiency in Microsoft Office and general comfort with online registration and data systems.
Ability to work independently with minimal supervision while maintaining collaborative relationships with volunteers and partners.
Positive, service-oriented approach and attention to detail.
Demonstrated ability to work collaboratively and constructively with coaches, volunteers, and the Board of Directors.
Proven track record of professionalism, discretion, and respect in all club interactions.
Commitment to positive, solutions-oriented communication and alignment with the club's values and governance structure.
References must confirm the candidate's ability to maintain effective, respectful working relationships within a volunteer-driven organization.
Other Requirements
Flexible schedule including evenings and weekends as needed.
Valid driver's license and reliable transportation.
Completion of CPIC and Vulnerable Sector Screening.

Hours, Compensation & Start Date
Approximate weekly hours:
10-15 hours per week (part-time), with some seasonal variation based on competition timelines and Board requirements.
Target start date:
Early 2026 (or as soon as possible based on candidate availability and onboarding timelines).
Compensation:
$25-$30 per hour, commensurate with experience and qualifications, with candidates who bring significant relevant experience, leadership, and strategic capacity considered at the higher end of the range.
