Job Summary

This position provides coordination and support for UBC Midwifery faculty associated with the Fraser Health Midwifery Cohort. This support includes stocking the clinical skills lab, maintaining an inventory of stock, teaching and clinical examination support, scheduling and administrative support for the clinical midwifery instructors assigned to Surrey Memorial Hospital, and liaison work with the Fraser Health Midwifery Practices and Surrey Memorial Hospital.

Organizational Status

The Midwifery Program houses the only educational programs for registered midwives in BC. It has a four-year baccalaureate program operating as an independent program within the Department of Family Practice, Faculty of Medicine and prepares graduates for direct entry to practice. As a degree-granting program for a distinct health profession, the program is responsible for its own admissions and selections process, and must be consistent with preparatory, regulatory and certification guidelines described by the BC College of Nurses and Midwives and the Midwives Association of British Columbia (MABC). The Midwifery Program also houses the Internationally Educated Midwives Bridging Program (IEMBP). As the only bridging program in Canada, content is delivered online and in person over an 8 to 10-month period. The Midwifery Program is the only resource for the development of future midwifery educators and researchers in British Columbia. The program is also responsible for providing primary clinical faculty development, quality assurance for practicing midwives, and community, inter-professional, and governmental awareness of midwifery practice and research.

This position will be located on-site at UBC offices in Surrey, BC.

Work Performed

The Clinical Site Coordinator is responsible for simulation lab and clinical skills support, scheduling and support for UBC midwifery clinical instructors assigned to Surrey Memorial Hospital, and liaison work for the clinical faculty with Surrey Memorial Hospital and Fraser Health.

Clinical Skills - Lab Operations

Maintains an inventory of lab supplies that support teaching of the Midwifery undergraduate program and the Internationally Educated Midwives Bridging Program at Surrey Memorial Hospital

Coordinates teaching materials to facilitate student learning at skill stations including the development of written and electronic materials and resources available to learners at stations.

Maintains stock supplies at Skills Stations before the clinical skills class or exams, labs function efficiently, and unused supplies are returned to storage.

Maintains stock supplies at Skills Stations are stocked for clinical intensives: MESP, NRP, ALARM, and ACORN as required, and unused supplies are returned to storage.

Processes and prepares purchase orders for new equipment and replacement equipment or repair; and service of all equipment, in consultation with midwifery faculty.

Coordinates equipment and teaching supply updates and purchases with other UBC Midwifery cohort sites (Victoria General Hospital on Vancouver Island and Women's Hospital in Vancouver)

Plans anticipated needs for clinical teaching and learning resources.

Maintains electronic inventory system making recommendations for new purchases as required.

Communicates with faculty year leads in the undergraduate program and the IEMBP director to know scheduled clinical skills labs and OSCEs. This includes communicating with the Instructional Assistant and applicable staff before the start of each term to verify clinical skills lab and OSCE dates, number of students, and supplies needed.

Administrative Support - Clinical Faculty at Surrey Memorial Hospital:

Assists Clinical Faculty members with coordinating necessary hospital credentialing packets

Provides administrative support for Clinical Faculty members including but not limited to coordinating work schedules, coordinating hospital credentialing packets, ensuring faculty attends mandatory meetings with Surrey Memorial Hospital and Fraser Health, and acting as a liaison between both internal and external stakeholders

Assists Clinical Faculty and Clinical Placement Coordinator in placing students to assigned Clinical Faculty members for hospital placement

Assists in developing, updating and maintaining procedures and processes for Midwifery clinical faculty and overall site

Works with Clinical Faculty members to provide proper documentation of visits and procedures done with students during hospital work hours

Compile monthly and annual reports on hospital activities of the clinical midwifery instructors

The Site Coordinator is expected to attend 50% of the Midwifery Program meetings annually. These may be attended by videoconferencing.

Occasional travel to other Midwifery Program sites may be required.

This position may assist or provide vacation coverage for the Instructional Assistant located at Fraser Health.

Consequence of Error/Judgement

This coordinator must exercise considerable judgement initiating and carrying through with various activities critical to the functioning of the Midwifery Program. Exercising poor judgement, ineffective communications, or lack of confidentiality could result in strained relations that compromise the Divisional activities and the Midwifery Program. The Midwifery Director may need to intercede in order to resume a productive working relationship.

Supervision Received

This position will receive direction from the Administrative Manager for Victoria and Surrey Cohorts with oversight from the Business Manager, and receive direction regarding faculty support from the Midwifery Program Director. The position will also collaborate with various Leads in the Midwifery Program.

Supervision Given

This position is not expected to supervise other employees.

Minimum Qualifications
High School graduation, plus one year of post-secondary education, plus three years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

Knowledge of UBC database programs such as the Faculty Services Centre (FSC), and Classroom Booking programs desirable.

Knowledge of UBC Financial Management System (Workday) is an asset.

Computer experience required (Word, Excel, Access, PowerPoint, and virtual meeting platforms).

Ability to perform word processing at 60 words per minute.

Ability to move and organize supplies, between various spaces during the workday.

Ability to effectively use word processing, spreadsheet, database, presentation, internet publishing applications at an intermediate level.

Ability to prioritize and work effectively under pressure to meet deadlines.

Ability to effectively manage multiple tasks and priorities.
