Temporary Assignment - Approximately 37 weeks

JOB SUMMARY:
Reporting to the Manager of Clinical Applications, the Clinical Applications Support Coordinator works within a team environment and is responsible for executing tasks as assigned by members of the Clinical Applications & Informatics team. The successful applicant will have experience in Information and Technology Solutions, systems, and workflow analysis.

The Clinical Applications Support Coordinator executes the tasks assigned to them by following established policies and procedures and with the guidance of their manager and peers, they will liaise with the Clinical Applications & Informatics team and stakeholders to work through detailed operational project plans, analysing requirements and providing administrative, clerical, implementation and/or processing support.

The Clinical Applications Support Coordinator assists with project assistance, document/process/report development, tracking, distribution and management. They will coordinate meetings, presentations and support with liaising with other Digital Solutions teams and act as a point of contact for operational project queries. With guidance from the Manager, Informatics Specialists, Application Analysts, and Project Managers, they will ensure that all activities align with quality standards, project guidelines, corporate best practices, and regulatory standards and guidelines.

RESPONSIBILITES:

  • Prepare and coordinate flow of documents, materials, and resources for operational meetings and presentations, preparing meeting agendas, minutes and documents, scheduling, coordinating, and tracking operational committees
  • Supports Digital Solutions and hospital project initiatives; provides configuration changes, system testing, and prepares documentation of change specifications and participates in go-live support
  • Responsible for identifying any project /resource risks throughout the project and escalating them on a timely basis to both the Manager of Clinical Applications and the Project Sponsors.
  • Supports with developing flow charts, SBARs, and functional specifications to translate business requirements into technical requirements
  • Acts as a point of contact for application project queries, appropriately identifying, addressing, redirecting or escalating questions and issues that are consistent with operational requirements, regulatory standards and corporate code of conduct
  • Assist team, providing timely administrative support, including template preparation, information entry, creating logs, reports, and scripts
  • Contribute to the creation and maintenance of operational templates/forms, documents and processes during the operational project life cycle and assist with project issue identification and resolution during audits that is consistent with operational project requirements
  • Manage and maintain operational materials, ensuring all activity is entered/record, distributed, tracked, monitored, updated, revised, and/or maintained in accordance with operational project protocols, industry best practices, and regulatory standards and guidelines
  • Prepares and presents application(s) status reports and ad hoc reports, creates and updates test plans in consultation with Application Analysts and Informatics Specialists, analyses test cases, identifies issues and escalates them to appropriate teams and assists management in the interpretation of available information
QUALIFICATIONS:
  • Undergraduate Degree in Computer Science, Business/Systems, Project Management or a recognized equivalent required
  • Epic Certification or knowledge and experience with Epic EHR preferred
  • 1-3 years experience supporting HIS systems and custome developed applications (preferably in a healthcare environment)
  • Increasing experience in HIS project implementation and support
  • Basic knowledge and application of project management principles
  • Basic knowledge of business process re-engineering and process flow
  • Ability to work in multi-functional teams
  • Ability to work independently
  • Proficient organizational and time management skills
  • Ability to complete and deliver work assignments on time
  • Demonstrates respect for the joint values and governance of integrated project teams
  • Effective written and verbal communication skills
  • Must be proficient in the use of Microsoft Office, Visio, and Project
HOURS OF WORK:
Monday to Friday; Days
