Clinic Manager
Primary Purpose: The Department of Family Medicine is a complex, provincially distributed medical education program in the College of Medicine at the University of Saskatchewan. The Clinic Manager is responsible for the effective management of an active clinical family practice and residency training site, ensuring high-quality patient care and medical education operations. This role requires a strong focus on operational management, strategic execution, and staff oversight.
Nature of Work: The Saskatoon Family Medicine Unit, one of 8 sites within the Department of Family Medicine, functions as both a patient-centered clinic and a residency training facility. Based at West Winds Primary Health Centre, the Clinic Manager ensures the clinic operates efficiently, overseeing staff, patient flow, and residency training support.
Reporting to the Director of Operations and Administration, with direction from the Unit Director, the Clinic Manager collaborates with the University of Saskatchewan and, where applicable, the Saskatchewan Health Authority to align policies, procedures, and operations.
This role requires exceptional management, problem-solving, and communication skills to effectively oversee clinic operations in a fast-paced, confidential environment. The Clinic Manager must ensure compliance with university and healthcare regulations, support faculty, residents, and staff, and drive continuous improvement in clinic operations.
Clinic Operations & Leadership:

  • Oversee and manage daily clinic operations, ensuring efficient workflows, staffing, patient scheduling, and residency training support.
  • Supervise administrative and clinical support staff, ensuring optimal team performance and adherence to clinic policies.
  • Ensure compliance with University of Saskatchewan and Saskatchewan Health Authority policies, where applicable.
Human Resources & Team Leadership:
  • Oversee hiring, onboarding, training, and performance management of clinic staff in alignment with university HR policies and job classification processes.
  • Ensure appropriate staffing levels and team functionality in an interprofessional, academic healthcare environment.
  • Foster team development and ensure the integration of team-based skills in a collaborative clinic setting.
Process Improvement & Quality Initiatives:
  • Identify operational inefficiencies and implement process improvements that enhance patient care, clinic workflows, and training environments.
  • Support and execute strategic initiatives while maintaining alignment with clinic goals.
  • Lead or contribute to Quality Improvement (QI) initiatives to enhance clinic services and patient care delivery.
Regulatory Compliance & Data Management:
  • Ensure compliance with HIPA and university policies regarding patient privacy, data security, and medical record management.
  • Oversee and maintain Electronic Medical Records (EMR) systems, including user account management and data integrity.
  • Understand the clinic's role in research, data management, and consent processes related to residency training, patient care, and QI initiatives.
Patient-Centered Care Coordination:
  • Support patient onboarding, ensuring clarity on care in a teaching environment and requirements for research or QI participation.
  • Improve clinic processes to eliminate barriers and enhance the patient experience.
Stakeholder Engagement & Relationship Management:
  • Collaborate with physicians, residents, and healthcare teams to maintain excellence in patient care and education.
  • Represent the Department of Family Medicine in stakeholder meetings and engage with external partners, including the Saskatchewan Health Authority where applicable.
  • Assist leadership with operational planning, program advancements, and special projects.
Qualifications
Education: An undergraduate degree in business administration, healthcare management, or a regulated health profession (ie. nursing, social work, etc) is required. An equivalent combination of education and experience may be considered.
Experience: Minimum 5-7 years' experience of clinical/administrative management experience in a healthcare or medical education setting. At least 5 years of direct supervisory experience, including hiring, training, and performance management. Experience, at an operational level, as a leader who has developed and led innovative planning and programs in a complex, multi-stakeholder environment. Strong understanding of University of Saskatchewan and Saskatchewan Health Authority policies and procedures, where applicable. Experience working in diverse and inclusive environments.

  • Proven management and operational oversight abilities in a complex healthcare setting.
  • Strong human resources and team leadership skills, including conflict resolution and team development.
  • Proficiency in quality improvement (QI) methodologies and ability to implement process enhancements.
  • Knowledge of EMR systems and health data security best practices.
  • Exceptional organizational, communication, and problem-solving skills.
  • Ability to work independently, prioritize competing tasks, and maintain attention to detail.
  • Strong financial and strategic acumen to assist with clinic planning and operations.
  • Adaptability to manage change and drive continuous improvement in a dynamic academic healthcare environment.
