Primary Purpose: The Department of Family Medicine is a large complex provincially distributed medical education program in the College of Medicine at the University of Saskatchewan and is dedicated to excellence in patient care, teaching and learning, research, and administration.The Clinic Manager provides leadership and oversight for an active clinical family practice and residency training site with an academic medical education training facility.
Nature of Work: The Saskatoon Family Medicine Unit is one of 8 sites of the Department of Family Medicine, serving as both a residency training centre Based at West Winds Primary Health Centre , this role ensures the efficient operation of a large medical clinic, overseeing staff, patient flow, and residency training support.
Reporting to the Director of Operations and Administration , with direction from the Unit Head , the Clinic Manager collaborates with the University of Saskatchewan and the Saskatchewan Health Authority to align policies, procedures, and operations.
Operating in a fast-paced, confidential environment, this position requires strong leadership, problem-solving, and communication skills to manage competing priorities effectively. The Clinic Manager develops and implements policies, ensures compliance with health and university regulations, and fosters a collaborative work environment for faculty, residents, staff, and patients. The ideal candidate will excel in strategic planning, operational leadership, and relationship management, ensuring seamless clinic operations while supporting high-quality medical education and patient care.
Accountabilities:
Clinic Operations & Leadership:
• Lead a fast-paced medical education training site, ensuring seamless day-today operations. Oversee staff supervision, faculty and resident scheduling, patient flow, and facility management - creating an efficient, patient-centered environment where learning and healthcare thrive.
Process Improvement & Strategic Development:
• Drive innovation and efficiency of clinic operations by developing and refining policies, procedures, and workflows. Identify areas for improvement and implement strategic solutions that align with evolving departmental and medical education needs.
Technology & Data Management:
• Serve as the primary resource for IT systems and Electronic Medical Records (EMR) management. Ensure seamless operation of Med Access EMR, manage user accounts, and uphold data integrity and regulatory compliance.
Patient-Centered Care Coordination:
• Lead patient orientation by ensuring a seamless introduction to the academic family medicine model. Improve clinic processes to eliminate barriers and support the highest standards of care, making every patient interaction meaningful.
Team Leadership & Development:
• Lead, mentor, and support clinical staff, fostering a collaborative and high-performing work environment. Assign responsibilities effectively, provide performance feedback, and ensure efficient team operations in a fast-paced outpatient setting.
Regulatory Compliance & Best Practices:
• Ensure the clinic meets all regulatory standards, including HIPA compliance. Conduct audits, oversee faculty and staff HIPA contracts, and implement best practices in health information management--keeping patient data safe and secure.
Collaboration & Stakeholder Engagement:
• Collaborate closely with physicians, residents, and healthcare teams to uphold excellence in patient care and medical education. Represent the Department of Family Medicine in key stakeholder meetings, maintain strong relationships with the Saskatchewan Health Authority (SHA), and support financial reporting for clinic operations.
Strategic Support & Program Advancement:
• Assist leadership with operational planning, strategic initiatives, and special projects that that enhance the future of medical training and patient care delivery.
Qualifications
Education: Completion a recognized post-secondary administrative program diploma is required. A business administration certificate or an undergraduate degree in a related field would be considered an asset. An equivalent level of education and experience may be considered.
Experience: a minimum of 5-7 years' experience providing confidential clinical administrative leadership within a fast-paced environment is required. A minimum 5 years of direct supervision, leadership and team building is required. The incumbent should be self-directed and highly motivated, with demonstrated leadership abilities; Knowledge of the University of Saskatchewan and Saskatchewan Health Authority policy and procedures is required. Requires a high degree of understanding of University and Saskatchewan Health Authority structure, policies and processes. Experience working in diverse and inclusive environments is required. Proficient written and oral communication skills are required. Understanding of medical terminology would be an asset.
Skills: Demonstrated ability to manage and prioritize multiple tasks and maintain attention to detail and accuracy; effectively work both independently and as part of a team; strong interpersonal and people management skills and a demonstrated ability to lead and motivate a team to accomplish goals; communication and organizational skills; demonstrated ability to function in a high volume setting with numerous and conflicting deadlines; ability to handle interactions with tact, discretion, confidentially and cultural sensitivity; self-motivated and creative with the ability to follow direction and at the time exercise initiative when required; highly motivated and self-directed; excellent problem solving analysis and problem solving skills; and a general knowledge of basic office procedures. Strong computer skills and confidence in ability to learn and use new technology is essential. Provide day-to-day direction and leadership for clinic staff. Has demonstrated ability to coach, mentor and develop others. Has demonstrated ability to inspire and lead by example that guides change and is committed to continuous improvement.
