Job Purpose:
Oversee all aspects of HWCC student clinics, remote supervised practicums, and student therapist.
Support and increase community engagement.
Uphold HWCC professional and educational standards while engaging new markets to increase client traffic in all student clinic locations.
Understand and own the financial success of the student clinics and look for ways to drive business forward through improving revenue, reducing expenses and specific promotional targeting.
Duties and Responsibilities:
Scheduling students/supervisors in clinic.
Sending reminders to students about practicum competencies/clinic objectives/shift sign-ups and policies.
Tracking student clinic requirements.
Automating departmental processes.
Supporting students in completing all necessary requirements for graduation in a timely manner: administration, competencies, outreaches and objectives.
Trouble shooting clinic concerns in collaboration with academic, education and other managers where required.
Supporting accreditation efforts of the Massage Therapy Program.
Collecting, organizing, and reporting on data collected from students about their student clinic experience and dissemination of student feedback to supervisors, administration and stakeholders.
Ensuring supplies are at appropriate levels in all HWCC clinic locations - using Campus Liaisons and Janitorial Supplies to monitor.
Working closely with Campus liaisons and the Faculty Manager to ensure that clinic facilities are maintained from a procurement, safety, cleaning and maintenance perspective.
Having scheduled regular communications with the Clinic Supervisors, Campus Liaisons, External Practicum Officer, and Academic Director.
Collaborating with the Marketing Manager to create targeted promotions/events.
Visiting clinics, students and supervisors to uphold HWCC's high level of experience.
Completing supervisor performance reviews annually.
Mitigating phone bookings and encouraging web interaction for clients.
Answering clinic related student service questions and inquiries on the phone/textline, via email and through any Customer Relations Management Software.
Reviewing of the Student Success Guide and External Practicum Binder to ensure both are up to date.
Sharing announcements and updates to students/supervisors.
Developing relationships with various organizations/associations to build ongoing community relationships.
Participating in campus visits, select trade shows, and monthly virtual open houses.
Performing general office work including collaborating with and supporting other staff members and departments.
Managing clinic concerns including ethical dilemmas/discharge of clients/interpersonal conflicts, etc.
Financial Management Duties:
Ensuring Clinics are operating at full capacity and working with the Marketing Manager to maximize opportunities to optimize utilization rates.
Daily Reconciliation of all transactions at Student Clinics.
Implementing cost-effective measures of procurement and inventory management.
Qualifications:
Minimum 1-year experience in an educational setting.
Experience working with adult learners.
Excellent oral and written communication skills.
Computer skills including Microsoft Office are an asset.
Team player with demonstrated customer service skills.
Ability to multitask.
Ability to exercise good decision-making skills.
Experience in conflict resolution and consensus building.
Strong interpersonal skills.
Ability to maintain close and productive relations with work colleagues at all levels.
Be an outgoing, confident, affable, and positive personality.
Capable of showing initiative including the ability to think ahead and work independently without constant direction to deliver his/her outputs.
Working Conditions:
This position is full-time Monday to Friday, 8:30am - 5:00pm (includes 30 minutes for lunch and two 15-minute breaks). May be required to work overtime and weekends for special program events.
Requires visits to the campuses at least twice/year.
Management of campus liaisons and clinic supervisors as reports.
Physical Requirements:
The ability to occasionally lift boxes and supplies up to 20 pounds.
