Clinic Manager

Position Summary



The

Clinic Manager

is responsible for the day-to-day operational leadership of the clinic. Reporting to the executive team, this role oversees a team of team leads and acts as the primary point of contact for staff on operational matters. The ideal candidate is a strong communicator, problem-solver, and team builder with a keen eye for improving efficiency, supporting a positive work environment, and ensuring the clinic runs smoothly for both staff and patients.

Key ResponsibilitiesTeam Leadership & Staff Coordination



Supervise and support a team of clinic leads and the front-line staff that they oversee. Be the go-to person for staff concerns, workflow challenges, and operational updates. Facilitate onboarding/offboarding processes in collaboration with HR or administrative teams. Coordinate staff schedules and facilitate regular check-ins and operational huddles.

Clinic Operations



Ensure effective daily clinic operations, including staffing coverage, space utilization, and workflow efficiency. Monitor and manage supply and equipment needs, liaising with vendors and leads as required. Troubleshoot operational issues and serve as the escalation point for on-site challenges.

Facility & Equipment Oversight



Oversee the general maintenance, cleanliness, and safety of the clinic. Coordinate with janitorial staff, building management, and vendors for facility needs. Ensure compliance with health and safety regulations (OH&S, emergency procedures, etc.). Maintain oversight of clinic equipment (non-medical and medical), including servicing schedules.

Compliance & Quality Assurance



Support the clinic's compliance with healthcare standards and regulatory requirements. Coordinate accreditation processes and prepare for audits (e.g., NHSF, DI, EMG). Maintain and review emergency response protocols and lead drills as needed.

Patient Experience & Service Flow



Collaborate with front desk and clinical teams to optimize patient flow. Resolve service-related issues and promote a patient-centered operational culture. Identify workflow inefficiencies and work with the team to implement solutions.

Operational Improvement



Monitor operational metrics (e.g., room utilization, appointment flow, staffing gaps). Contribute to continuous improvement initiatives across the clinic. Support special projects, annual planning, and vendor negotiations as needed.

Qualifications



Minimum 5 years of experience in clinic, office, or healthcare operations management. Strong leadership and communication skills with experience supervising teams. Familiarity with medical or multidisciplinary clinic operations preferred. Demonstrated ability to manage logistics, schedules, vendors, and competing priorities. Comfortable using EMR systems (e.g., Accuro) and Microsoft Office or G Suite tools. Knowledge of healthcare compliance and accreditation processes is an asset.
