We are a modern, boutique-style Integrative Health and Medical Aesthetics clinic located in the heart of Coal Harbour, offering an elevated experience in all-encompassing care -- from functional medicine and holistic wellness to medical aesthetics including facials, injections, and laser treatments. Position: Full-Time (Monday - Friday): 10am-6pm.

Location: Coal Harbour, Vancouver

About the Role:

As the Director of First Impressions, you are the welcoming face and heartbeat of our clinic. You'll ensure each patient feels genuinely cared for from the moment they walk through our doors. This role is ideal for someone who thrives in a polished, wellness-focused environment, values teamwork, and enjoys the satisfaction of creating smooth, beautiful experiences for both clients and colleagues.

Key Responsibilities:

Provide exceptional, professional client service with warmth and care. Manage daily front desk operations including bookings, calls, and emails, and in-person interactions Managing booking schedule Utilize Jane App for scheduling, billing, and chart management (proficiency required). Support the COO and CEO with administrative and executive tasks. Assist with marketing, social media, and client engagement initiatives. Ensure the clinic runs efficiently by maintaining organization and anticipating team needs. Contribute to a collaborative, supportive, and growth-oriented team culture.
Qualifications:

Minimum 2+ years of experience in customer service within a clinical or wellness setting. Proficiency in Jane App is required. Experience running direct billing for insurance providers or ICBC claims an asset Marketing skills an asset Strong interest and passion for administrative deliverables, with an emphasis on how to create streamlined workflows and process's in support of your leadership team Strong understanding or interest in holistic health, physical therapies, and medical aesthetics. Exceptional communication (verbal and written) and interpersonal skills. Direct of First Impressions to all clients, vendors, and staff as the first point of contact for the clinic Professional, mature, and polished demeanor. Proactive, organized, and solutions-oriented with great attention to detail. Understanding of when to take initiative Comfortable working independently and collaboratively in a small team. Permanent residency in Vancouver required. Fluent English with intermediate writing and literacy skills is required Familiarity with Mac/Apple software preferred. Ability to commit to a minimum of 12 months.
