ActiveCare Physiotherapy & Rehab is a newly opened multidisciplinary clinic in the heart of Chestermere, Alberta. With physiotherapy as our cornerstone service, we also offer chiropractic care, massage therapy, acupuncture, naturopathy, and more. We are looking for a motivated and detail-oriented
Clinic Assistant

Your Role as a Clinic Assistant
As a Clinic Assistant, you'll be at the heart of our clinic's operations, ensuring that everything runs smoothly for both patients and staff. This role is perfect for someone who is highly organized, enjoys working with people, and is passionate about healthcare.
Key Responsibilities
Patient Experience and Assistance
Welcome patients with a warm, professional demeanor and assist with check-ins.
Guide patients through the intake process, ensuring all necessary forms and medical histories are completed accurately.
Escort patients to treatment rooms and provide information about their appointments or procedures.
Respond to patient inquiries in person, over the phone, or via email with clarity and professionalism.
Clinic Operations and Support
Prepare treatment rooms before and after each patient, ensuring they are clean and properly sanitized.
Assist healthcare practitioners (if needed) during treatments by setting up necessary equipment or supplies as required.
Maintain the cleanliness and organization of common areas, including the front desk and waiting area.
Order and restock clinic supplies as needed, ensuring availability of all necessary materials.
Administrative Duties
Manage appointment scheduling using the clinic's EMR system (JANE) to optimize efficiency.
Answer incoming calls and emails, handling inquiries or directing them to the appropriate team member.
Maintain and update patient records, ensuring data accuracy and confidentiality.
Insurance and Billing Support
Verify patient insurance coverage and assist with direct billing for services.
Liaise with insurance companies, adjusters, and Worker's Compensation Board (WCB) or Motor Vehicle Accident (MVA) cases for pre-approvals and claims processing.
Follow up on unpaid claims with insurers and assist in reconciling accounts receivable.
Address patient billing questions and help resolve payment-related issues.
Team Collaboration
Act as a point of support for healthcare providers, ensuring seamless communication and coordination between the front desk and treatment rooms.
Assist with organizing team meetings or staff schedules when needed.
Qualifications and Skills
Required Experience and Knowledge
Previous experience in a healthcare or clinical setting is
highly preferred
.
Strong understanding of or willingness to learn about multidisciplinary healthcare services.
Familiarity with Electronic Medical Records (EMR) systems and comfort with learning new software.
Experience with Jane (EMR) is highly preferred
Knowledge of insurance billing processes, including handling WCB/MVA cases.
Skills and Attributes
Exceptional organizational skills with the ability to prioritize tasks in a fast-paced environment.
Excellent communication skills, both verbal and written, to interact with patients and team members effectively.
A proactive and problem-solving mindset with attention to detail.
Ability to handle sensitive information with discretion and maintain patient confidentiality.
