Your mission
You will be responsible for the reception and well-being of the clients, talent, and visitors. You will coordinate reception activities such as answering the door and phone calls, preparing and distributing shipments and offering administrative support to various departments. You will be responsible for light cleaning in common areas such as the lobby, kitchen and washrooms and taking garbage and recycling out at the end of each day. You will also provide administrative support to audio post-production and dubbing services. You may be asked to provide temporary relief support to our other Toronto locations.
Your responsibilities
Greet guests with courtesy, listen to them and respond to their requests
Answer phone calls and route them to the right people
Perform data entry for the preparation of labels for shipments
Manage inventory and ordering of office supplies, coffee, etc.
Serve coffee and tea to clients and order lunches for client sessions
Coordinate and place calls to order beverages, snacks and meals for guests, or for corporate events
See to the operation of the coffee machines and the cleanliness of the premises (reception, kitchenette, fridge, etc.)
Collaborate in social activities, such as organizing company meals, etc.
Prepare and send by courier requests from different departments
Provide support to the post-production team including printing, processing workorders, executing timesheets, scheduling & overflow assistance with studio needs
Perform data entry into Scheduall, Monday etc.
Assisting the dubbing department with script formatting, as recorded scripts, project scheduling team etc.
Administrative support and coordination to various departments
File and archive documents
Perform other related tasks as required
Your qualifications
High school diploma or greater
Relevant hospitality and/or industry experience is an asset
Proficient with computers and Microsoft Office suite applications
Great customer service skills
Strong interpersonal skills
A self-starter with good organizational skills and initiative
Professional appearance
Ability to work in a team and maintain good communication
Flexible when schedules are subject to change
Good time management and punctuality
