Job Description

Reporting to the Operational, Planning & Logistics Supervisor, the Client Reception Clerk will provide administrative support to the Operations unit.
Key Responsibilities

  • Develop and review service request and work order request details and ensures information is accurate, complete in FAMIS in order to facilitate the coordination and prioritization of work and monitor work order backlog reports to ensure that work orders are completed based on priorities.
  • Create small job capital projects in FAMIS for on-campus events and small construction projects.
  • Receive, review, schedule all room booking requests and confirm logistical requirements with university clients to ensure compliance with university policies and procedures.
  • Liaise with various departments on campus to confirm all event related activities are reviewed for risk management, liability, legal components and maintain all required materials record keeping required for Quality Control System to meet legislated requirements.
  • Communicate calls to affected Operation staff via a two way radio system and provide assistance and back up coverage to Logistics Supervisor as required.
  • Perform various data entry functions to support the Operations Unit Assign and schedule work orders for internal \xe2\x80\x9cmoves\xe2\x80\x9d trucking staff and records labour charges in FAMIS for payroll and billing purposes.

Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
  • Business/Office Administration diploma with a minimum of two to three years\' progressive experience in customer service (or equivalent combination of training and experience).
  • Excellent communication (verbal & written), interpersonal, organizational skills, the ability to meet a variety of deadlines, and work in a team environment.
  • Proficiency in MS Office and Computerized Management Maintenance System Software (CMMS).
Assets
  • Experience using Room Scheduling Software
  • Familiarity with two-way radio communications equipment
  • General Safety and WHIMIS training.
