Victoria's premium personal training company is looking for a
Client Experience & Operations Coordinator
to support our growing business. This role is perfect for a stay-at-home mom or parent who wants consistent part-time hours, flexibility around school schedules, and meaningful perks that support their own health and well-being.
The Opportunity
You'll be the behind-the-scenes backbone of our operations, supporting client experience, onboarding, scheduling, communication, and internal systems. You'll work closely with our owners, trainers, and operations team to keep things running smoothly while delivering a top-tier client experience.
Responsibilities
Client & Operations Support
Manage inboxes and client communication
Manage EZ facility systems (client scheduling system)
Add and manage new clients across platforms
Track attendance and manage cancellations and rebookings
Create packages and support payment processing (in collaboration with our sales manager)
Following up and calling leads
New client onboarding
Scheduling and managing client check-in meetings
Handle paperwork for new sign-ups and trials
Administrative & Studio Support
Scheduling support and calendar management
Weekly reporting and operational tracking
Facility supplies ordering and inventory coordination
Assist with internal organization and day-to-day operational needs
Marketing & Community Support
Social media support (posting, coordination, basic engagement)
Assist with newsletters, content uploads, and light marketing tasks as needed
Schedule & Commitment
20 hours per week
(approximately 4 hours per day)

Experience with admin, customer service, or operations tasks
Requirements
Previous administrative or client-facing experience (ideal)
Strong organizational and communication skills
Comfortable using Google Suite and online platforms
Willingness to learn new systems (GHL, Trainerize, EZ Facility)
Job Type: Part-time
Pay: $2,000.00 per month
