We are seeking a highly organized, customer-focused

Client Care & Scheduling Coordinator

to be the primary point of contact between our clients, field crews, and internal team. This role is critical to ensuring a smooth customer experience from initial inquiry through job completion.

The ideal candidate thrives in a fast-paced construction environment, enjoys problem-solving, and understands the importance of clear communication, accurate scheduling, and follow-through.

Client Care & Communication



Act as the first point of contact for incoming calls, emails, and service requests Provide professional, timely, and friendly communication to clients, property managers, and stakeholders Set clear expectations with clients regarding timelines, scheduling, and next steps Handle client questions, changes, and concerns with empathy and confidence Maintain strong relationships with repeat clients and property managers

Scheduling & Coordination



Schedule crews efficiently based on job scope, urgency, and availability Coordinate job start dates, site access, and work windows with clients Adjust schedules as needed due to weather, site conditions, or priority changes Ensure crews receive accurate job details, locations, and timelines Confirm appointments and proactively communicate any schedule changes

Administrative & Operational Support



Create and manage work orders and job information in internal systems Ensure job scopes are complete and accurate before crews are dispatched Track job status and follow up to confirm completion Support project managers and operations with scheduling updates and reporting Maintain organized records and documentation
What We're Looking For

Strong customer service skills with a calm, professional approach Excellent organizational and time-management abilities Clear and confident verbal and written communication Ability to manage multiple priorities in a fast-paced environment Comfortable working with construction schedules, trades, and changing timelines Strong attention to detail and follow-through Proficiency with email, scheduling software, and basic office tools
Preferred Experience

Previous experience in customer service, scheduling, or coordination Experience in construction, property management, or service-based industries is an asset Familiarity with work orders, dispatching, or field coordination is a plus
Job Types: Full-time, Permanent

Pay: $23.00-$25.00 per hour

Expected hours: 40 per week
