Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

The Breast Health Centre offers clients timely access to integrated breast care services and specialists. The program ensures leading edge technology, quicker response times, best practice in treatment, as well as providing education and support to clients and their families.

Position duties and responsibilities:

SCHEDULING

  • Schedules clinic appointments into the computer system following established guidelines.
  • Reschedule canceled clinics with short turnaround times.
  • Address patient anxiety and appropriately refers to social worker or CNS as needed.
  • Works closely with DI Charge Tech for daily schedule changes.
  • Works closely with CCMB nursing to coordinate follow up appointments between systemic treatment cycles.
  • Complies weekly and monthly statistical data for Director.
  • Escalates issues to the Director as appropriate.
  • Notifies CNS when patients require bridging before appts. (anticoagulation).
  • Under the direction of the multidisciplinary team prioritizes and processes those with a need for immediate or less urgent appointments, assistance or referral accordingly.
  • Conveys appointment information to patients.
  • Instructs patients about when to attend appointments and what documentation to bring.
  • Preps charts for nursing clinics.
  • Transcribes (accepts) physician orders.
  • Schedules appointments for off-site tests.
  • Ensures all reports are available for the patient\'s visit.
  • Ensures information related to next visit is entered into the scheduling notepad.
  • Cancels appointments when a provider is unable to be present.
  • Facilitates referrals to outside agencies as requested by the multidisciplinary team.
  • Prints and distributes daily appointment schedules for multidisciplinary team.
  • Posts transcription and billing schedules on a daily basis.
  • Enters data and scans documents into electronic medical systems (Aria and RIS).
  • Assists the multidisciplinary team to ensure the care and comfort of clients, as well as routine site organization.
Experience
  • Minimum of 2 years related experience.
  • Experience working in an electronic medical record would be an asset.
  • Experience in scheduling and working in an electronic schedule is essential and knowledge of Aria and RIS scheduling would be an asset.
  • Experience maintaining records and registering patients.
  • Experience with mail distribution, photocopying and faxing.
  • Experience in health care would be an asset.
Education (Degree/Diploma/Certificate)
  • Completion of a high school or equivalent program of studies.
  • Completion of Health Certificate or equivalent program of studies.
Qualifications and Skills
  • Excellent communication skills are essential.
  • Knowledge of Medical Terminology an asset.
  • Minimum keyboarding speed of 30 words per minute.
  • Proficiency in Microsoft Word.
  • Data entry experience required.
  • Experience with Microsoft Excel and Access would be an asset.
  • Must have good interpersonal and organizational skills
  • Excellent problem-solving skills.
  • Must be able to function effectively in a fast-moving environment with frequent interruptions.
  • Ability to multi-task effectively.
  • Ability to work as a team member effectively.
  • Ability to maintain confidentiality.
