Position Summary
Reporting to the Manager, Centralized Patient Scheduling & Registration (CPSR) the Bed Allocation Representative works in a centralized model providing Bed Allocation and related services across the organization

PRIMARY RESPONSIBILITIES:

  • Provides excellent customer service to all patients and system stakeholders as a primary contact upon entry to the hospital.
  • Monitors, maintains and controls bed allocation in consultation with patient flow and all levels of clinical staff.
  • Admits, Discharges and Transfers patients in system generating appropriate charts and ensuring that the hospital has a point of contact for the creation of urgent encounters in the EMR.
  • Adheres to data quality processes as directed, inclusive of validating health cards
  • Attends Bed meetings.
  • Updates bed resources in Criticall\xe2\x80\x99s Provincial Hospital Resource System Repatriation Tool (PHRS) database daily at 0800, 1200, 1600 and 2400.
  • Monitors, enters and responds to any applicable repatriation request.
  • Works in a collegial manner with management, nursing, physicians, patient flow staff and other clerical staff from within the hospital as well as other health care facilities to ensure that the right patient is in the right bed at the right time.
  • Covers the communications area for all codes, procedures and breaks as required, utilizing extensive knowledge in paging systems, when, where and how to contact or direct staff, physicians, patients, general public, and outside facilities.
  • Provides break coverage to other areas of CPSR as required.
  • Completes all morgue registrations and updates as applicable. Liaises with funeral home representatives regarding release of bodies.
  • Provides morgue, death certificate, and Trillium Gift of Life related paper work to Health Records after body has been released from the Hospital.
  • Performs other duties as may be assigned by the direct manager and/or Team Lead.

Qualifications
Education:
  • Ontario Secondary School Graduation Diploma or equivalent is required
  • Successful completion of a Medical Terminology course required
  • Successful completion of the Hospitals Electronic Medical Record (EMR) training required upon hire
  • Completion of Medical Office Administration program is an asset
  • Completion of a recognized post-secondary diploma/degree is an asset

Experience:
  • Two (2) years OSMH bed allocation experience or demonstrated competency required
  • Switchboard experience is an asset
  • Preference given to candidates with previous healthcare experience
  • Preference given to candidates with experience in registering and scheduling in an EMR

Competencies:

  • Demonstrated computer literacy and working knowledge of Microsoft Office Programs (Word, Excel, Outlook) is required
  • Demonstrated familiarity with Criticall system is an asset
  • Demonstrated excellent communication skills in English (both verbal and written) and interpersonal skills to positively interact with a range of individuals in a variety of situations, which require tact, discretion and confidentiality
  • Demonstrated ability to be highly motivated and flexible with the ability to adapt quickly to new situations/challenges
  • Demonstrated ability to organize and prioritize workload and multitask under pressure
  • Demonstrated attention to detail and a strong commitment to quality and patient information verification
  • Demonstrated ability to work both independently and as a productive team member
  • Demonstrated the ability to provide excellent customer service to all patients and system stakeholders
  • Demonstrated ability to attend work on a regular basis
