Clerical Assistant, College of MedicineThe Saskatchewan International Physician Practice Assessment (SIPPA) program is a Canadian leader in assessing eligible internationally trained family physicians, ensuring that they have the knowledge, skills and suitability to practice effectively and safely within the Canadian healthcare system. SIPPA is situated in the College of Medicine, Division of Continuing Medical Education and works within the Medical Council of Canada\'s National Assessment Collaboration Practice Ready Assessment framework. The SIPPA program includes applicant screening and selection, an orientation to family practice in Saskatchewan, an assessment for practice readiness and ongoing supervision while in clinical practice until the physician attains regular licensure. Each year up to 150 physicians are at various stages of the program while they are practicing in rural Saskatchewan.Primary Purpose: To provide efficient, exemplary administrative support to the comprehensive SIPPA program.Nature of Work: Reporting to the program manager and working collaboratively with faculty and staff, this position will have varied tasks that are complex and time sensitive in nature. The incumbent must have the ability to work independently as well as part of a team. Work must consistently meet high standards of accuracy in a fast-paced environment of continuous change and frequent interruptions. The work is deadline driven and very detailed, requiring skills in prioritizing to meet timelines. Excellent communication and interpersonal skills are essential and the professional image of the SIPPA program must be presented. Discretion is required as the position is privy to confidential information.Typical Duties or Accountabilities:

  • Build collaborative relationships with staff, faculty, physician assessors and physicians in the SIPPA program. Ensure accurate, professional and timely delivery of information, field questions and provide administrative support to these contacts.
  • Support general office duties including management of multiple email accounts, filing, data entry, updating contact lists, invoice payments and purchases of office supplies, ensuring appropriate items and proper approvals.
  • Draft and distribute confidential letters to physicians at the selection, assessment and supervision phase of the program.
  • Monitor, track and troubleshoot monthly one to one sessions for physicians in supervision. Follow up with physicians who miss sessions.
  • Plan and coordinate administrative tasks for SIPPA\'s triannual Advisory Committee including scheduling meetings, gathering or creating background and meeting material and minute taking.
  • Provide logistical planning and administrative support for the annual SIPPA Symposium event.
  • Create and update work standards related to the role and stay current with procedures at Usask.
  • May coordinate and monitor the work of other administrative positions. A commitment to teamwork and positivity is essential, along with an ability to create and nurture positive working relationships and contribute to the development of others.
  • Participate in projects and other duties, as assigned.
Education: Completion of Grade 12 and a recognized post-secondary business administration program is required. A combination of education and experience may be considered.Experience: Three to five years of relevant administrative experience in an academic, health, government or large institutional environment is required. Experience working in a diverse and inclusive environment is required. Experience working effectively in a high volume, high interruption, time sensitive environment and being continuously responsive. A working knowledge of the University of Saskatchewan environment and an understanding of the Saskatchewan healthcare landscape is an asset. Experience with booking systems, data repositories, and records management is an asset.Skills: Exceptional organizational skills with a proven ability to work on multiple projects in an evolving and innovative environment and to balance competing demands, priorities and tasks; demonstrated aptitude for successfully working in a team-oriented environment, demonstrated sound judgment, tact, discretion and professional integrity; exemplary interpersonal and communication (verbal and written) skills; strong attention to detail; reliability, dependability and self-motivation with the ability to be flexible and responsive within an evolving and dynamic workplace; ability to work independently, take initiative and anticipate future needs and issues; proven problem-solving abilities; high proficiency in the use of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and video conferencing. Familiarity with One45, RedCap and Canvas is an asset.Department: Continuing Medical Education

Salary: The salary range, based on 1.0 FTE, is $23.35 - 30.61 per hour. The starting salary will be commensurate with education and experience.
