Student Services Assistant, College of Law

PRIMARY PURPOSE: To provide administrative and clerical support to the Student Services Office, College of Law.

NATURE OF WORK: Reporting to the Student Services Manager, this position works as a team member within the Student Services Office, including: reception, room scheduling and providing general support to the Associate Deans and Student Services Manager; the lifecycle of a graduate student including admissions, registration, course builds, exams, coordination and program completion; updates information on PAWS and Website, and acts as a resource to faculty, staff and student. The Assistant must be able to interact knowledgeably and courteously with a diverse group of individuals with a high level of customer service, tact, cultural sensitivity, confidentiality, and expertise. Attention to detail is critical as impact to errors are high. The Assistant must also be able to shift priorities and workflows based on deadlines. The member will be required to work in an ever-changing environment, adapting to shifting priorities and timelines with frequent interruptions.

ACCOUNTABILITIES:

  • Acts as the primary contact for Student Services office.
  • General administrative support to the Associate Deans including calendaring.
  • Graduate Program Assistant including LLM admissions process, inquiries, graduate committee support and liaise with the College of Graduate and Postdoctoral Studies.
  • Processes documents and actions associated with the lifecycle of a graduate student including admission, progress updates, thesis defences, etc.).
  • Assists in maintaining student records including working in PAWS, Banner, DegreeWorks and Document Management systems.
  • Prepares course builds for the JD and LLM programs.
  • Assist with exam scheduling including accommodations for students, supplemental and deferred exams, invigilation schedules, vetting of exams by faculty, reproduce and store exams, and documenting exam grades.
  • Prepares payments for scholarships and bursaries and support the Student Services Manager in awards.
  • Supports committees such as the College\'s First Year Orientation and the First Year Welcoming Ceremony Committee.
  • Acts as one of the primary room schedulers for Law.
  • Works closely with other admin staff within the Student Services Office including coverage and assistance during peak periods.
  • Assists in updating information on the College PAWS channel and website.
  • Liaise and communicate policies, procedures and notices to the students, faculty and staff.
  • Prepare and assist with reports as requested.
  • Other duties as assigned.
Qualifications

QUALIFICATIONS
Education: A recognized post-secondary diploma in office administration. A combination of education and experience may be considered.

Experience: A minimum of five years of related experience. Working knowledge of Recruit, Banner, PAWS, and DegreeWorks is required; however, limited experience in these areas may be considered. Experience using University systems, databases and manipulating data in Excel is required.

Skills: Demonstrated superior organizational skills, meticulous attention to details and the ability to work independently and establish priorities; working knowledge of Office software applications and Usask systems is required; demonstrated highly effective interpersonal, analytical, written and verbal communication skills; demonstrated ability to function in a high volume setting with numerous and conflicting deadlines; demonstrated public relation skills, including the ability to interact effectively with the students, faculty, staff and public; be self-directed and set priorities; handle all interactions with tact, discretion, confidentiality, cultural sensitivity; recognize problems and determine best course of action and arrive at a solution; demonstrated ability to set priorities while achieving goals and objectives in an appropriate time frame; resourcefully addresses issues that arise; provides relevant information and assistance professionally in person, via email and over the phone; communicates in an open and professional manner; demonstrates willingness to assist others.
