Duties and Responsibilities:

- Assist with day-to-day practice of a busy partner and associate;

- Work with Philips SpeechExec for Transcription/Dictation

- Prepare and revise legal documents, correspondence, and presentations;

- Compiling records and briefs as and when required;

- Manage and schedule lawyer\xc2\x92s calendar, appointments, and court dates;

- Assist with coordination of meetings and filings;

- Schedule travel arrangements;

- Manage internal and external communications including calls, mail, faxes, and e-mails;

- Type general correspondence and various legal documents from handwritten notes, phone, or verbal instructions.

- Liaise with the Finance team, running monthly accounts; and reviewing entries;

- Enter dockets into accounting software (3E) as and when required.

- Open, close, and organize electronic and physical files using iManage;

- Entering and updating client contact lists in the CRM (InterAction); and

- Additional administrative duties as needed.

Requirements:

- 4+ years of experience in Civil and/or Commercial Litigation, Estates Litigation would be considered an asset

- Strong transcription and dictation skills;

- Law Clerk or Legal Assistant Diploma;

- Thorough understanding and knowledge of legal terminology, procedures and statutes;

- solid understanding of civil litigation including Personal Injury, Civil and Estates

- Strong working knowledge of the Rules of Civil Procedure;

- Proficient with PDF software (Kofax Power PDF/ Adobe);

- Proficient with legal software (ACL and PCLaw) and MS Office 365 (Word, Excel, Outlook, PowerPoint, Teams) and Zoom;

- Familiarity with the scheduling and in-person and virtual filing processes for the Toronto and Ontario courts;

- Eagerness to learn new technology/processes and further develop skills;

- Excellent communication skills, written and verbal;

- Capable working under pressure while managing multiple priorities; and

- Ability to work independently as well as part of a team.
