Are you a highly organized professional with strong project coordination skills and a passion for good governance and civic engagement? The City of Edmonton is seeking a dedicated Civic Agencies Coordinator to join the Office of the City Clerk.
As a Civic Agencies Coordinator, you play a crucial role in supporting City Council and approximately sixty civic agencies, boards, committees, and commissions (ABCs). You will be instrumental in coordinating recruitment and appointment processes, developing and delivering training programs, and implementing communication strategies that ensure our agencies are diverse, well-informed, and highly effective.
This position requires a strategic thinker and project coordinator who can navigate ambiguous and sensitive situations, provide guidance on policy and legislative frameworks, and navigate complex situations with sound judgment, even in the absence of established policies.
What will you do?:
Coordinate recruitment campaigns for Civic Agencies, including developing recruitment profiles, advertising strategies, and outreach materials
Provide guidance and procedural advice to agency members, Board Chairs, City Administration, and Council, ensuring consistency with legislation and policies
Coordinate standing committee meetings related to civic agency appointments, including preparing council reports and ensuring legislative compliance
Develop and facilitate training sessions (in-person and virtually) for agency members and City staff, using adult learning principles
Research and advise on governance best practices, legislation and procedure improvements; contribute to development of bylaws and policies
Maintain comprehensive procedural documentation including handbooks, templates, and process manuals
Maintain and update online training and resource materials (i.e. create web-based materials and onboarding guides)
Implement and coordinate communication plans to enhance public awareness of ABCs and support diversity in application outreach
Qualifications
:A degree in a related field such as public administration, business administration, human resources, volunteer management, communications, or adult education
A minimum of five years of progressively responsible and diverse experience in a public sector or complex multi-disciplined organization
Assets:
Experience in volunteer coordination and recruitment
Knowledge of adult learning principles, public engagement strategies, and board governance
Familiarity with municipal or government procedure and legislative processes
Skills required for success:
Strong project coordinator experience, with the ability to independently manage timelines and deliverables
Significant experience in working with legislation interpretation, governance, project management, and operational research
Ability to work under pressure, exercise sound judgement, and perform multiple tasks independently and in teams, in a high-volume, politically sensitive environment
Experience interpreting legislation policies, procedures, and guidelines and developing practical solutions or recommendations, even in the absence of established policies or procedures
Excellent organizational, communication, research, and problem solving skills
Strong writing skills with the ability to prepare reports, presentations and training materials for varied audiences
Ability to work collaboratively with Council, Administration, agency members, and the public

Conditions of Employment:
Hire is dependent on a Criminal Records Check (CRC) that is satisfactory to the City of Edmonton and is a requirement of this position. There may be a cost associated with this requirement
Work Environment:
Flexible scheduling is required, including evening and weekend work, to accommodate Council's meeting

hybrid work arrangement
with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52.
