chiropractic clinic in Burlington, Ontario,
offering chiropractic services as well as physiotherapy, massage therapy, osteopathy and naturopathy We're looking for a motivated Office Manager/Administrative Assistant to join our team!
25-30 hours per week, Monday - Thursday, 7:30 AM - 2:00 PM (on-site)
Flexibility Required:
Ability to cover evening shifts (Monday & Thursday 2- 8 PM, every 3rd Saturday morning) as needed for illness/vacation relief

Who We're Looking For:
This role requires someone who is friendly, proactive, and thrives in a fast-paced, patient-centered environment. Experience in a chiropractic clinic and proficiency in chiropractic software, MVA/HCAI and extended health billing is essential. A positive outlook and a passion for chiropractic and alternative healthcare is a must.
Key Responsibilities:
1. Patient Care & Front Desk Coordination
Welcome patients warmly and create a positive patient experience
Answer phones, respond to emails, and schedule appointments
Communicate with patients regarding appointments, reminders, and follow-ups
Ensure smooth patient flow and support practitioners in providing outstanding patient care
2. Office Management & Administrative Duties
Accounts payable, payroll processing, and clinic supply management
Direct billing for MVA claims, WSIB, HCAI submissions, Telus Health & Provider Connect
Manage one part-time admin, ensuring coverage and working their hours if required (Mon 2-8 PM, Thurs 2-8 PM, every 3rd Saturday morning)
Coordinate maintenance and contractor services for clinic operations
3. Practitioner Support & Clinic Coordination
Working for one Chiropractor/clinic owner your role is to support the chiropractic clinic & manage patient flow
Coordinate appointments and process payments for clients seeing other providers (physiotherapy, massage therapy, osteopathy, naturopathic doctor) as required
Maintain a seamless, organized, and professional clinic environment
What You Bring to the Team:
3+ years of experience in a chiropractic clinic (required)
Proficiency with chiropractic industry software (PMP, Aspire, Jane)
Experience with MVA claims, HCAI submissions, Telus Health, and Provider Connect
QuickBooks Online & QuickBooks Payroll experience
Highly organized with excellent multitasking skills
Friendly, professional, and patient-focused attitude
Strong communication skills (written and verbal in English)
Ability to work independently and problem-solve efficiently
