Main Duties and Responsibilities




Provide CE Administrative support including: + Respond to course inquiries and from students, staff and the general public; keep detailed course information
+ Order, maintain and distribute course CE text books and supplies
+ Book classrooms or other related space; choose appropriate facilities; assist orientating instructors
+ Prepare a variety of correspondence regarding students' registration, certification, and supplies
+ Assist CE Coordinator in day-to-day operations
+ Maintain day-to-day CE operations in the absence of the CE Coordinator
+ Preparing and submitting MACH Forms for course creation and revisions
+ Maintain ongoing knowledge of CE courses and their status
+ Creating and monitoring class lists and managing course supplies; materials and textbooks/manuals
+ Marketing material including the creation and distribution of promotional and course materials such as website and social media, flyers, poster, calendars, print and social media
+ Promoting and advertising CE offerings through online platforms and social media outlets ensuring for a strong web presence
+ Updating onsite campus media (sign boards, posters) for daily and weekend course offerings
+ Collaborating with the CE Coordinator to effectively deliver on projects using One Drive, Google Docs and other web-based platforms Maintaining/creating mail and email distribution lists for marketing materials
+ Maintaining inventory and the distribution of course materials and manuals
+ Submitting marketing and IT tickets as required
+ Provide detailed course information and schedules
+ Run class lists to have current info for instructors and co-ordinators, and to monitor minimum and maximum enrolments
+ Order, distribute and maintain records for course certificates and completion letters
+ 3rd party course and student entry using web based or paper based submissions ( such as Canadian Red Cross courses, etc)
+ Create course packages for instructors which include: course materials, manuals, classlists, evaluations, waiver, etc,
+ provide students with information/forms for CACE Bursary, or other CE related financial supports and submit to coordinators
+ Collect completed course packages and other related documents and submit to CE Coordinator
+ Email course notifications and updates to students enrolled in courses

Performs other related duties as assigned by the supervisor.

Skills, Knowledge, and Abilities




Keyboarding at 60 wpm Proficiency in Computers, MS Office desktop and cloud, Canvas and Adobe Pro (including Word, Excel, and email) Excellent word processing, formatting skills, and proof-reading Excellent written and verbal communications skills Excellent interpersonal skills Excellent organizational skills and the ability to set priorities when encountering conflicting demands at once Excellent troubleshooting ability when encountering problems with office equipment Demonstrated experience in web based applications such as One Drive, google Docs, etc. as well as web-based platforms for data entry Comfort in using social media platforms such as Facebook and LinkedIn Experience using services enhancing social media productivity will be considered an asset Ability to work independently and as a member of a team Excellent attention to detail and confidentiality Ability to work in a multi-tasking environment

Education and Experience




High School Graduation Completion of an Applied Business Technology Program with word processing or equivalent Minimum 2 years related experience

This is an on-call (0% FTE) position,

commencing August 4, 2025

. Salary will be Pay Grade 7, $32.09 per hour in accordance with the PPWC Collective Agreement.
