We are seeking a
highly organized, proactive, and detail-oriented professional
to support the CEO & Executive Chef while overseeing daily catering operations and office coordination.
Position Overview
The
Executive Assistant & Catering Operations Manager
plays a key leadership role within our group, ensuring seamless communication between departments, efficient event execution, and consistent administrative support to senior management.
This hybrid position requires excellent multitasking skills, leadership, and the ability to manage both office and event logistics with professionalism and discretion.
Key Responsibilities
Executive Support
Provide direct administrative and scheduling support to the CEO & Executive Chef.
Manage email correspondence, calendars, and meeting coordination.
Prepare reports, proposals, and internal communications.
Liaise with vendors, suppliers, and corporate partners.
Catering & Events Operations
Oversee logistics for confirmed catering and private events.
Communicate event details between clients, kitchen, and service teams.
Manage event timelines, deliveries, and staff scheduling through
StaffMate
.
Supervise on-site setups to ensure service quality and consistency.
Track event costs, staffing hours, and inventory usage.
Office & Team Coordination
Maintain organized records, contracts, and schedules.
Support HR with onboarding, scheduling, and staff communication.
Assist with marketing coordination and client follow-ups when needed.
Manage office supplies, uniforms, and catering equipment inventory.
Qualifications
Minimum 3 years' experience in
hospitality, catering, or event management
(operations or administrative).
Strong organizational, communication, and leadership skills.
Proficient in Microsoft Office, Google Workspace, and
StaffMate
(experience with QuickBooks or OpenTable is an asset).
Professional, reliable, and adaptable in a fast-paced environment.
Valid driver's license and flexibility to assist during events as required.
Schedule & Compensation
Full-time, Tuesday to Saturday (flexible hours based on events).
Salary commensurate with experience.
