Summary:



The campus coordinator supports various aspects of the Prince Albert (PA) campus operations and academic functions and is responsible for supporting the smooth delivery of campus logistics as the first point of contact for students. Key responsibilities include supporting calendaring for leaders, exam scheduling, student support, sessional hiring, classroom logistics, and event coordination. This position directs internal and external inquiries to appropriate resources, support, and services. Additionally, the program assistant plays a key role in maintaining accurate academic records, supporting campus leaders, and supporting compliance with institutional policies.


Duties and Responsibilities:



Supports administrative functions for campus leadership, including calendaring, scheduling, and processing financial transactions Coordinates distance exam logistics such as scheduling, room bookings, and liaising with instructors, staff, and examination officers Schedules and reviews PA campus course offerings, including registration data Coordinates sessional instructor hiring, including tracking requisitions, preparing letters of offer, and onboarding Assists sessional instructors with onboarding, classroom logistics, resource access, classroom setup, and exam coordination Collaborates with campus leadership on access and equity services (AES), ensuring that policies and procedures are upheld Provides first point of contact support to students with advising, appeals, withdrawals, and connecting them to campus resources Prepares support letters utilizing secure document sharing software to support scholarships, and academic standing Maintains office and classroom supplies and assists with purchasing card (PCard) transactions, along with financial reconciliation Supports campus events such as orientations, open houses, health fairs, and leadership visits, including logistics, setup, and collaboration with stakeholders Generates reports and enrollment data for campus leadership Maintains electronic and paper filing systems in compliance with records retention policies and supports the transition to centralized digital storage, properly capturing historical records Collaborates with student advisors on and off campus, including Indigenous Bands' post-secondary advisors, to support student transitions, orientation and funding Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion Demonstrates respect and dignity for all members of the community, actively contributes to an environment of acceptance and inclusion of others, and responds to different perspectives from a place of curiosity, respect, and non-judgement Undertakes related duties, as assigned, consistent with the nature of the position.

Qualifications:




A post-secondary administrative diploma; a bachelor's degree is preferred Minimum of three years of related experience Financial acumen and experience with basic accounting Demonstrated ability to build and maintain strong, collaborative relationships with stakeholders Ability to manage competing demands and prioritize work to meet deadlines Strong attention to detail, organizational and time management skills Excellent interpersonal and communication skills Proficient computer skills, including Microsoft Office applications.
