Job Summary


The Business Support Coordinator plays a key role in the day-to-day operations of our community-focused music school. This position supports the smooth functioning of administrative tasks, ensures clear communication between staff and families, and helps maintain an organized and welcoming environment for current and prospective students. The ideal candidate is detail-oriented, personable, and comfortable juggling a variety of responsibilities including managing student records and assisting with enrollment inquiries, to issuing invoices and tracking payments. In addition, this role includes basic marketing support to help grow the school's visibility through social media and outreach initiatives. As part of a small team, the Business Support Coordinator will contribute meaningfully to the overall experience of students, families, and staff alike.

Duties



Administrative & Business Support:

Provide day-to-day administrative support to ensure smooth internal operations. Accurately enter and update student information, class schedules, and records in our system. Greet and communicate with families and students via phone, email, and in person, creating a warm and helpful first impression. Respond to inquiries and guide prospective students and families through the enrollment process. Maintain organized digital and physical records for easy access and reference. Prepare and send timely and accurate invoices to families; monitor outstanding balances and follow up on late payments in a respectful and professional manner. Record and reconcile payments received, keeping internal systems updated and aligned with financial records. Collaborate with instructors and leadership to streamline administrative processes and support overall school operations.
Marketing and Outreach Support:

Manage the school's presence on social media platforms such as Instagram and Facebook. Assist with creating and scheduling posts that highlight student achievements, upcoming events, and school announcements. Monitor online engagement and provide feedback on audience interaction and growth. Support the development and distribution of email campaigns and newsletters. Keep marketing materials current and aligned with the school's branding. Participate in team discussions around promotions, community events, and outreach opportunities.

Skills



Strong phone and interpersonal communication skills to foster positive relationships with students and families. Excellent written communication and attention to detail. Ability to prioritize and manage multiple tasks efficiently in a dynamic environment. Familiarity with administrative tools such as spreadsheets Experience with or interest in social media platforms (e.g., Instagram, Facebook). Creative mindset with an interest in contributing to branding and promotional activities. Experience in invoicing, payment tracking, or basic bookkeeping is a plus. Previous experience in an educational or arts-focused environment is preferred but not required.

Job Type: Part-time

Pay: $17.00-$20.00 per hour

Expected hours: 10 - 20 per week
