Position Number: 00013706Description:About us:The Business and Administrative unit at VPSEM has responsibility for the fiscal, human resources, space and other administrative management for the Vice Provost, Strategic Enrolment Management portfolio. This unit works collaboratively with Directors and other staff within the VPSEM portfolio to design and implement coherent administrative solutions to achieve departmental objectives.Your opportunity:As a member of the Business and Administrative Services support work group, and under the general direction of the Assistant Director, Finance and Administration the incumbent provides administrative support (financial, HR and otherwise) to the office of the Vice Provost, Strategic Enrolment Management, provides assistance to the Business Operations Lead when required, and provides administrative support to Financial Aid and Awards as needed.Your responsibilities will include:

  • Interpreting and applying rules to determine best course of action for operational issues
  • Probing for information to establish needs
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Creating and updating records
  • Keeping well-informed on University programs, policies and procedures
  • Monitoring accounts for a project and/or program
  • Handling fees and/or fines on a regular basis
  • Serving as a resource to others by providing (non-supervisory) job-related guidance
Essential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum five (5) years administrative experience
  • Experience and proficiency in ROSI, FIS and HRIS, and knowledge of accounting principles, general UofT Policies and Procedures, including travel and other reimbursable expenses, and causal staff hiring and payroll; experience with accounting practices
  • Good keyboarding and computer skills required; proficiency in MS Office (Word, Excel, Outlook, Access)
  • Good written and oral communication skills
  • Superior organizational and time management skills are essential; Demonstrated organizational skills, flexibility in handling multiple tasks concurrently, ability to work effectively in a team environment, and a high attention to detail
  • Demonstrated ability to interpret and apply guidelines in a variety ofsituations
  • Ability to work independently, to set priorities and work schedules to meet guidelines
  • Ability to work effectively with a wide variety of people at different levels of the University and with external organizations and institutions
  • Thorough knowledge of the UofT financial/HR processing procedures
  • Absolute discretion, tact, sensitivity to confidential matters
