Originating in 1967, the Department of Linguistics has become an integral part of an academic community that includes numerous linguistic colleagues throughout the University and in neighbouring universities. The core areas of research and teaching in the department include theoretical linguistics, language variation, language documentation and revitalization and psycholinguistics. Your opportunity:

Reporting to and in close consultation with the Chair, the Business Officer is responsible for overseeing business and financial administration activities in the Department of Linguistics. The incumbent plays a critical role in financial matters, such as budgeting, forecasting, and monitoring an administrative budget from operating funds, grant funding, trust accounts , and other sources of revenue. Other financial activities include financial modelling and reporting, purchase orders and requisitions, performing monthly reconciliations on departmental and research accounts, and processing and reconciling payroll .

The Business Officer also ensures efficient administrative operations of the department and handles matters related to space, renovations, equipment, facilities, and special events and conferences . The incumbent develops and implements processes and procedures that support administrative workflows and objectives and provides day-to-day supervision of administrative staff.

Your responsibilities will include:

  • Analyzing financial trends and preparing analytical reports and forecasts for management decision making. Planning and overseeing short and long range activities that support financial administration.
  • Applying the University Guide to Financial Management and other applicable policies, agency and regulatory requirements.
  • Implementing plans and process improvements for academic search, tenure, and review activities.
  • Developing and maintaining procedures for the use of space and equipment
  • Processing payroll and entering salary and/or personnel information in HRIS.
  • Developing and revising business methods that support administrative workflow and objectives.
  • Directing the activities of a group of staff-appointed employees all performing a similar function.
  • Keeping well-informed on changes to policies, procedures, collective agreements, and applicable legislated requirements.
Essential Qualifications:
  • Bachelor\'s Degree in accounting, business administration, commerce, or related field, or an acceptable combination of recent and equivalent experience.
  • Minimum four years of recent and related experience with business and financial management, preferably in post-secondary education or research-intensive institutions.
  • Experience forecasting, managing, analyzing, and preparing complex operating and research budgets.
  • Experience processing, monitoring, reporting on, and reconciling financial and payroll transactions.
  • Experience overseeing unit operations, including space, facilities, equipment, procurement, and administrative workflows.
  • Experience advising on and supporting academic processes, as related to academic searches, tenure, promotions, and CUPE 3902 units 1 & 3.
  • Experience analyzing financial information and producing statistical reports.
  • Experience providing research services support, including grant research applications and processes, and grant administration.
  • Experience interpreting and applying policies and procedures, including collective agreements, institutional policies, and funding agency guidelines.
  • Excellent and effective interpersonal, verbal and written communication skills.
  • Experience directly leading or supervising staff, preferably in a unionized environment.
  • Advanced skills working in FIS and HRIS, or similar financial and human resources information systems.
  • Advanced skills in Microsoft Office (e.g. Word, Excel, PowerPoint, Outlook, Teams), and high proficiency with spreadsheets, financial planning tools, and database management.
  • Demonstrated ability to exercise judgment, tact and diplomacy, and the ability to maintain confidentiality.
  • Sound judgment, excellent decision-making and problem-solving skills.
  • Excellent organizational, multi-tasking, planning, and time-management skills.
  • Demonstrated strong client service orientation and commitment to fostering equity, diversity and inclusion in a professional environment.

USW Pay Band 14 -- $88,290 with an annual step progression to a maximum of $112,911. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
