University Health Network (UHN) is a research hospital affiliated with the University of Toronto and a member of the Toronto Academic Health Science Network. The scope of research and complexity of cases at UHN have made it a national and international source for discovery, education and patient care. Research across UHN's five research institutes spans the full spectrum of diseases and disciplines, including cancer, cardiovascular sciences, transplantation, neural and sensory sciences, musculoskeletal health, rehabilitation sciences, and community and population health.

Position Overview:

The Institute of Cancer Research (ICR), headquartered at the University Health Network (UHN) in Toronto is one of the thirteen institutes of the Canadian Institutes of Health Research (CIHR). ICR enhances ongoing cancer research by creating new cancer research programs, and by coordinating Canada-wide cancer research efforts supported by different national and provincial agencies.

As part of the ICR team, the Business Officer and Event Planner will be responsible for the day-to-day operations of the Institute's administrative office and duties. The Business Officer and Event Planner will lead the overall planning, coordinating, and overseeing of all logistics for workshops, meetings, and events. The Business Officer and Event Planner will also monitor and manage Institute and event budgets, payroll, prepare quarterly budget projections and reports, and manage the purchasing, payment, and reimbursement for ICR events and activities under general direction of the ICR Scientific Director and Assistant Director. The position requires highly developed problem-solving and leadership skills, discretion, discernment, and confidentiality.

The position is located at the ICR office at UHN; some travelling however, will be necessary. Travel outside of Toronto for periods of as long as several days may be required, and it may be sometimes necessary to work outside usual working hours.

Summary of Key Responsibilities (Job functions include but are not limited to):

Financial Accountabilities

  • Establish procedures that meet the UHN and CIHR (Government of Canada) financial administrative requirements. Ensure Institute operations reflect good business practices and generally accepted accounting principles, and achieve compliance and adequate internal controls.
  • Initiate improvements to procedures and practices to better meet the financial and administrative needs of the Institute.
  • Monitor and maintain CIHR and Institute budgets; preparing quarterly budget projections and reports under general direction of the Scientific Director and Assistant Director.
  • Manage the payroll, purchasing, payment, and reimbursement functions for the Institute. Ensure that expenditures presented to the ICR Scientific Director and Assistant Director for authorization are in accordance with UHN and CIHR policies.
  • Maintain proper records of accounts and files for financial data and contract deliverables.
  • Provide regular updates on the status of ICR's budget, acting as a financial resource for the Institute by responding to inquiries from stakeholders, UHN financial compliance officers, and external financial monitoring teams.
Event Planning Accountabilities
  • Plan, coordinate, and oversee all event logistics (e.g., local and large pan-Canadian workshops, meetings, conferences) and develop/manage event budgets.
  • Planning tasks include creating a project plan, sending invitations, booking venues, arranging catering, transportation, and equipment etc., in an effective and efficient manner under direction of the ICR Assistant Director and Scientific Director.
  • Build and maintain positive relationships with vendors, meeting and event participants, and other relevant ICR stakeholders that are involved in the planning and execution of meetings, workshops, and events.
  • Participate in the development and execution of ICR contracts with suppliers, consultants, and other service providers and inter-institute agreements with other CIHR Institutes under general direction of the ICR Scientific Director and Assistant Director.
  • Oversee the work of suppliers and service providers to ensure that projects and events are completed on budget, effectively, and efficiently.
General Accountabilities
  • Manage efficient and smooth day-to-day operations of the Institute with respect to human resources, finance, procurement, and physical resources, in accordance with UHN and CIHR policies and procedures.
  • Accountable to the ICR Assistant Director and Scientific Director, and able to assess and make recommendations regarding events and financial decisions related to Institute operations.
  • Operational administration, ordering and monitoring office supplies and equipment under direction of the Assistant Director and Scientific Director.
  • Develop and maintain ICR's electronic information support systems.
  • Facilitate complex correspondence between ICR and researchers, healthcare administrators, senior policy makers and other research funding organizations.
  • Responsible for staying abreast of related CIHR, Provincial, Federal, and tri-council regulations.
Qualifications/Requirements:
  • Bachelor of Business Administration, Health Administration or related field, or equivalent combination of education and experience required.
  • A minimum of 3-4 years experience in a similar position required.
  • Physically situated in Toronto and amenable to a hybrid work model (on-site and remote work)
  • Bilingual in English and French is an asset.
  • Proven experience in coordinating high level meetings and planning workshops and events.
  • Experience managing HR finances.
  • Ability to manage a diverse workload, multi-task and set priorities. Demonstrates a high level of organizational and project management skills to balance competing priorities under pressure and to deliver expected results on time.
  • Excellent oral and written communication skills to draft clear, concise correspondence, as well as to respond to inquiries with tact, confidentiality, and discretion.
  • Proficiency with Microsoft Office Suite and Adobe, and ability to learn and navigate new software and tools.
  • Experience working with a wide range of people from a variety of professional backgrounds and post-graduate experience.
  • Experience with the UHN financial system is an asset.
  • Developed competencies in strategic thinking, creativity, and innovation, focusing on client needs, teamwork, leadership, decision-making, planning, organizing, and problem solving.
  • A sound understanding of University, Health Services, and Government structures and operations.
  • Knowledge of HR and corporate policies, procedures, programs, and practices.
  • Knowledge of the Canadian cancer research landscape and its stakeholders is an asset.
