WHAT WE ARE LOOKING FOR
We are looking for a dynamic and passionate Budget Project Coordinator who will support the Client Services team by delivering accurate and timely administrative, project coordinator, and reporting support.
Main Responsibilities:
  • Be responsible for all activities related to client budget project management from the point of receipt of the client's approval to spend at the front-end to the compilation and presentation of the budget report and review accounts receivable on the back-end.
  • Provide core support, as well as overall supervision of the budget project management workflow.
  • Act as the single dedicated point of contact for all aspects of client billings for assigned Client Service Team:
  • Act as a liaison between the Client Services and Finance teams
  • Ensure the billing process is completed accurately, on time, and within the approved budget.
  • Coordinate invoicing, and assist in the development of monthly Budget Control Reports and billing/aging reports
  • Review and analyze accounts payable
  • Assist the Cilent Services Team in the development and preparation of custom and templated reports across various clients. Includes but not limited to:
  • Campaign pre- and post-buy reports
  • Global/corporate reports
  • Client & team status reports
  • Vendor commitment tracking
  • Establish and nurture strong client relationships, serving as the primary contact for all client budget management deliverables and troubleshooting as needed to meet client expectations.
  • Monitor and train staff involved in the various billing processes to ensure compliance of contractual obligations in client services delivery
  • Review of all media purchases for assigned cilents
  • Track discrepancies;
  • Review and analyze accounts payable;
  • Attend periodic internal client-related or departmental meetings
  • Be responsible for the presentation of the Budget Report to client(s)
  • Provide additional administrative support to Cilent Services Team on ad hoc projects
  • Ensure the accuracy and quality of all documents
  • Maintain confidentiality of client information
  • Attend periodic internal client-related or departmental meetings
You are the desired candidate if you have:
  • College/University degree in administration, accounting, or other equivalent degrees
  • 1-2+ years' experience working in an administrative or project coordinator role
  • Strong knowledge of Microsoft Office Suite software (Word, Excel, PowerPoint).
  • Experience working in a Communications or Marketing Advertising environment (asset)
  • Strong communication skills (written and oral)
  • Ability to manage conflicting priorities in a fast-paced, deadline-driven environment
  • Detail-oriented, and the ability to maintain a high degree of accuracy
  • Strong organizational and multi-tasking skills
  • Good stress management and priority management
