Summary
At Welsh Custom Homes, the Bookkeeper plays a critical role in maintaining accurate financial records and supporting the company's overall financial integrity. This position is essential to the smooth operation of our accounting processes, ensuring timely reporting, compliance, and effective financial management. The Bookkeeper will work closely with our leadership and project teams to support our mission of delivering high-quality custom homes by maintaining precise and up-to-date financial information.

Responsibilities
General Bookkeeping & Accounting
Maintain accurate and timely financial records in QuickBooks Online (QBO)
Reconcile all bank and credit card accounts on a monthly basis
Record, categorize, and review all financial transactions for accuracy
Track and record fixed assets, capital expenditures, and depreciation
Maintain and update a construction-specific chart of accounts optimized for job costing
Job Costing & Project Accounting
Set up and manage projects in QBO with appropriate labour and management fee structures
Ensure accurate allocation of all costs to the correct job, including labour, materials, and subcontractors
Enter and monitor project budgets, tracking actuals against forecasts to identify variances
Payroll & Time Tracking
Ensure all employee hours submitted through QBO Time are reviewed and approved by supervisors
Process payroll bi-weekly in compliance with Ontario employment standards
Issue reimbursements, stat holiday pay, and other payroll adjustments
Track and maintain accurate records of employee vacation, sick time, and other entitlements
Sales Tax (HST) & Government Filings
Prepare and file monthly HST returns in accordance with CRA regulations
File WSIB reports quarterly, track premiums, and ensure compliance with construction-specific reporting requirements
Remit all required source deductions (CPP, EI, income tax) by CRA deadlines
Prepare and file T4 slips for employees at year-end
Issue Records of Employment (ROEs) for eligible employees as needed
Accounts Payable & Receivable
Set up auto payment processing system
Process supplier and subcontractor invoices with management approval
Maintain the accounts payable aging report and prepare timely payment schedules
Generate monthly cost-plus invoices for clients based on job costing in QBO
Issue monthly statements to clients with outstanding account balances
Monitor accounts receivable, and maintain up-to-date client payment records
Internal Reporting & Financial Controls
Prepare and present monthly financial reports, including Profit & Loss, Balance Sheet, and Job Costing summaries
Support the budgeting, forecasting, and cash flow planning process
Ensure accuracy and consistency in the general ledger
Maintain effective internal controls over company spending, expense reimbursements, and credit card use
Compliance & Record-Keeping
Maintain organized, audit-ready financial records and supporting documentation
Ensure compliance with CRA, WSIB, and industry-specific financial and safety regulations
Support to Management & Strategic Guidance
Provide financial analysis and insights to ownership to support strategic decision-making
Assist with preparing documentation for financing applications, equipment purchases, and asset management
Collaborate with external accountants to support year-end processes, financial reviews, and tax filings
Requirements
Proven experience as a bookkeeper or in a similar accounting role. With supporting references
Strong knowledge of accounting principles and practices.
Proficiency in Quickbooks Online accounting software is preferred.
Excellent attention to detail and organizational skills.
Ability to manage multiple tasks effectively in a fast-paced environment.
Strong analytical skills for account analysis and budgeting.
