Reporting to the Controller and working closely with Urban Solar's cross-functional team, the Bookkeeping and Administration Coordinator will play a key role in realizing Urban Solar's mission.
The Opportunity:
Urban Solar is seeking a Bookkeeping and Administration Coordinator to support the company's financial operations. This individual will be responsible for maintaining the books through accurate transaction posting, tracking inventory movements and managing vendor payments, as well as a variety of administrative tasks. This position is best suited for a candidate with a solid understanding of basic accounting principles, strong organizational skills and the ability to effectively prioritize and manage multiple tasks in a dynamic environment.
Key Responsibilities Include:
Accounts Payable
Receive, organize and process vendor invoices
Track and receive inventory invoices as the components are physically received
Manage credit card transactions and reconciliations
Pay vendors via credit card as required
Organize batches of bill payments for the Controller to process
Accounts Receivable
Enter sales orders received from the Sales and Operations departments
Track shipments to customers from the warehouse
Generate invoices and send out to customers
Follow up with customers for payment on overdue invoices
Administrative Support (approximately 10% of time):
Manage orders of office supplies
Manage miscellaneous office subscription plans
Manage business registrations
Other administrative tasks as required
Other:
Records regular intercompany transactions on a monthly basis
Possibility to assist Controller with other duties as capacity permits
Required Qualifications:
1-2 years of bookkeeping experience
and/or
bookkeeping diploma or certificate
and/or
a degree or diploma in a related field
Familiarity with Sage 50, Microsoft Office Suite and G-Suite, or similar systems
Confident with learning new software and processes
Professional communication skills
Strong organizational and time management abilities
Additional Skills:
Experience working with modern ERP systems is an asset
Experience working in a manufacturing environment is an asset
Ability to identify opportunities for increased efficiency in accounting processes is an asset
Work Eligibility:
Candidates must be legally entitled to work in Canada on a permanent and unrestricted basis (e.g., Canadian citizen, permanent resident or holder of an open work permit with no employer restrictions). Sponsorship is not available for this position.

This position is based at Urban Solar's head office in downtown Victoria, BC.
Salary:
Full-time (37.5 hours per week)
Starting salary: $50,000 - $60,000
