Job Description

We are seeking a dependable

Payroll and Administrative Coordinator

to support payroll processing, office administration, and worker documentation across seasonal operations (lobster, snow crab, herring). This role is essential for keeping day-to-day processes smooth and ensuring internal documentation and communication flow without interruption. You will report directly to the Controller and are expected to demonstrate strong teamwork, accountability, and clear communication.

Key Responsibilities:



Maintain presence at the front desk and respond to general inquiries (calls or walk-ins). Assist with payroll preparation, timesheet collection, and pay-related documentation. Maintain accurate employee files and support the collection and organization of onboarding paperwork. Assist with travel, accommodation, or logistical arrangements for seasonal workers or staff. Post assigned invoices in accounting software as directed and ensure accuracy in coding. Prepare and process basic accounts payable documentation and coordinate cheque handling. Monitor and update internal trackers, spreadsheets, and schedules related to payroll and admin tasks. Assist with administrative coordination, such as mailing cheques, preparing standard forms, or supporting licensing and regulatory tasks Post, scan, sort, and organize internal documents and ensure filing systems are up to date Respond to general inquiries and assist with basic coordination tasks between departments Support supply ordering, recordkeeping, and operational documentation as needed. Ensure files are correctly named, saved, and easy to locate within the company's shared system. Order office supplies and coordinate logistics or booking tasks as assigned. Ask questions and clarify instructions when needed to ensure tasks are done correctly the first time. Take initiative to complete routine responsibilities without needing daily reminders. Provide support during audits. Support administrative tasks for sister companies Take on additional administrative and coordination duties as assigned based on business needs.

Qualifications:



1-2 years of experience in office administration, payroll, or coordination Comfortable using Excel, shared drives, and standard office tools Excellent organizational and communication skills Strong attention to detail and ability to meet deadlines Experience in a production or seasonal work environment is an asset Willingness to learn and adapt as duties evolve

Schedule:



Monday to Friday Full-time, in-office presence required
Job Type: Full-time

Pay: $20.00-$22.00 per hour

Expected hours: 40 per week
